It would be nice if there was a spot on the payment window to add credit card service charges to the invoices without making an invoice. We have a customer who pays with a credit card and we would like to add credit card fees to the total on the payment window. That would be a nice feature.
I appreciate you sharing your brilliant insight with us, @mwmwrc. I'll be glad to share a workaround on how to add credit card charges to invoices in QuickBooks Desktop (QBDT).
In QBDT, you can create a service item for the credit card fees and add it as a line item to your invoices. To do that:
Once done, manually include the credit card charge as an additional line item when creating an invoice.
We're aware of how the option to add credit card processing fees is essential to ensure accuracy in your cash flow. Since credit card surcharges are handled differently in each state, this feature is currently unavailable in QBDT.
While this option is inaccessible, I highly recommend sending our software engineers your valuable input. Doing so gives them the opportunity to review your suggestion and may consider applying it in our future product developments. To do that, go to Help, select Send Feedback Online, and click Product Suggestion.
Additionally, here's a guide if you need assistance refunding credit card payments in QBDT: Void or refund customer payments in QuickBooks Desktop.
Your feedback is important to us to help improve your QBDT experience. Please don't hesitate to reach out back to us whenever you have any clarifications or follow-up concerns about entering credit card charges. The Community is here to lend a hand. Stay safe!
Yes I know about the work around. But we never know when this customer is going to pay with credit cards. So if I did the invoice in August and he wants to pay in September, I cannot go back and change the invoice because August has been closed. So that is why it would be nice to have it in the payment window. Just a suggestion.
Yes exactly. We have the same issue. Some pay by CC some do not. We can not add an item to the invoice because those that chose not to use a CC then are upset.
We work with other payment processing companies and they have a simple feature that adds credit card fees to the amount due from the invoice. Some call it a service charge. It is simple and works well. Wish Intuit would add this simple feature.
Yes. We have the same problem. Adding fees to an invoice is not the solution. The customers that don't use the CC then get upset. We use other CC processing companies and they simply add a fee to the amount due of the invoice. Some call it a service fee but we are able to dictate the amount. It is simple and works. Wish QB had this simple feature.
Hi there, @RDEdwardz.
I understand that the option to add a credit card processing fee is handy on your end. Furthermore, other users might also see how convenient this feature is.
With that in mind, I'd recommend submitting direct feedback to our Product Engineers. Your suggestions will be kept in mind for future development plans.
Here's how to submit feedback:
You might want to learn to send statements to your customers to show them the summaries of their invoices, payments, credits, and balances, feel free to read this article: Create and send customer statements in QuickBooks Desktop.
For additional suggestions or questions about QBDT, never hesitate to reply to this post. I'll be willing to lend a hand. Keep safe and thank you.
I'm trying to figure this out for myself too.
Hello there, @Thompson. I recognize how convenient it is to have the feature of adding credit card fees to the payment window to let your customers include the charges to what they are paying for. Allow me to provide some information about this.
Currently, this feature is unavailable in QuickBooks Desktop. However, I recommend sending a feature request to our Product Development team to demonstrate the collective urgency and significance of the matter at hand.
Here's how to send one:
In the meantime, you might consider adding the credit card fees as a service item when you create an invoice as a workaround. You can follow the steps provided by my colleague, JaeAnnC, to make a service item.
Furthermore, here's a guide to clear out customer and vendor overpayments or underpayments: Write off customer and vendor balances.

Consider having a 3rd party payment processor.
does the feature (client can add and pay for CC at the time of invoice payment) exist on QB Online?
Welcome to the Community space, crawf. Allow me to assist you in how to process credit card payments on your invoices in QuickBooks Online (QBO).
You can enable the option of credit card payment on the invoices using QuickBooks Payments. This payment process can help you accept and manage client's invoice payments. To proceed, you'll need to sign up for QuickBooks Payments first:
After that, you'll get an email notification regarding your QuickBooks Payments enrollment after a few business days.
Additionally, you'll need to set up your QBO account settings so your clients will know that they can pay invoices through a credit card online. Here's how:
Also, you'll need to set your payment directly on the invoice you create.
For step-by-step guidance, you can refer to this article: Take and process payments in QuickBooks Online with QuickBooks Payments.
Furthermore, you can check out this article to learn how to process a refund for your clients or invalid payments: Void or refund customer payments in QuickBooks Online.
I'll be around if you have further assistance regarding invoice payments or other QuickBooks-related concerns. I'll be happy to serve you. Keep safe.
No. You need to have a 3rd party payment processor to integrate with QBO.
