Credit card payments

Hello,

We just started using QuickBooks to receive credit card payments from customers. I was surprised to see that I was able to see the full credit card numbers in the customer center under Payment Settings. Is there a way to hide the numbers, except for the last 4, as soon as it has been entered? I want the users to be able to enter credit card numbers but, once its been entered I want it to X out the numbers. Is this possible?

Thanks!

The ability to view the credit card numbers is working as intended, Shipper. Rest assured, it won't display the full details of your card, such as CVV and expiration date. We can also request an option to hide the digits for your customer and business protection.

When Credit Card Protection is active, revealing Credit Card numbers in payment-related documents is intentional. Although customer payment wallets might encrypt the numbers, showing the last four digits, any transactions with fully encrypted numbers are declined. Additionally, no card-type image is displayed.

Additionally, I recognize that you're comfortable concealing the credit card digits with X values to safeguard the customer's payment information. I recommend submitting feedback to maintain the last four (4) numbers in their profiles under Payment Settings. This way, our developers may consider adding this function in the future.

Here's how:

  1. Go to the Help icon at the top menu.
  2. Select Send Feedback Online and then click Product Suggestion.
  3. Enter your request, then tap Send Feedback.

Thank-you for your response.

I noticed you stated that expiration date and CVV are hidden. That would be great if I could hide the expiration date and CVV. All my user have access to all the credit card data including the expiration date and CVV. How do I get it to hide that data? I am using QuickBooks Enterprise.

Hi there, Andrew. In QuickBooks Desktop (QBDT), you can assign roles to users, allowing you to manage the areas of your company file they can access. I'll walk you through the process and provide a visual reference to help you navigate this process smoothly.

As mentioned, you can create and assign specific roles to each member or user within the program. The role you assign determines which sections of your company they can access based on their assigned permissions. These are the steps:

  1. Access your QuickBooks Desktop company.
  2. Click the Company menu, then select Users.
  3. Select Set Up Users and Roles.
  4. Locate the user you want to edit the roles and then click the Edit button.
  5. Choose from the available roles the task you want to add to that specific user.
  6. Click the Add>> button to set the role and then click Continue.
  7. Once done, click the OK button and then Close. You can repeat this process and assign different roles to all users in your company file.

For visual reference, see the image below.

You can also check this page to learn more about the process: Create and manage users and roles in QuickBooks Desktop Enterprise.

On top of that, in case you want your company to be accessible from other computers, check this article for further instructions: Host your company data in multi-user mode in QuickBooks Desktop.

I've enjoyed helping you through this and look forward to assisting you if you have other QuickBooks inquiries. You can comment below so I can respond and provide the details needed to address your concerns. Keep safe.
