Deleting a customer credit card

In Quickbooks Online, having trouble deleting/saving a non-transacting card to customer account. It does not give you the option to delete a customers credit card entirely, and when I try to save a dummy card (as per this support page) to the profile, it says "Did you enter your credit card info correctly? Make sure your credit card info is correct and try saving again" and won't let me save it.

Let's make sure that you're able to delete and save a credit card for your customers, 

zoesheetmetal.

 

We can perform some steps to fix this issue. There are times that the browser is full of frequently accessed page resources that cause some unusual responses. To isolate this, try logging into your QuickBooks Online (QBO) account using a private browser (incognito). Here's how:

  • Press Ctrl Shift (Google Chrome).
  • Ctrl Shift (Firefox).
  • Control Option (Safari).

Once signed in, go back to the Customer's profile and try deleting and saving the credit card. If it works, return to your default browser and perform a clear cache. Every so often the cache becomes overwhelmed with older data which can potentially cause viewing and performance issues. Clearing it will refresh the system, and you'll be able to work with a clean slate. However, if the issue persists, try using other supported browsers.

This didn't work - The problem is that I want to completely remove all cards from an account. There is no option to do this. I don't want to replace the current card with another, I just want to delete ALL cards from this account.

Before you delete a card account, you may want to take note of the following: 

 

  • The account will remain inactive in QuickBooks Online.
  • QBO will make an adjusting transaction if the account has a non-zero balance.
  • You can activate the account again, however, you may need to correct the journal entries and balances.

  

Now, when you're ready, Let me show you how to delete an account in the Chart of Accounts: 

 

  1. Click the Gear icon.
  2. Under Your Company, click Chart of Accounts
  3. Locate the account that you want to delete. 
  4. Tap the View register drop-down arrow, and select Make inactive
  5. Confirm that you want to delete the card account when prompted.

Are you just floating around replying to requests without reading them? Because the entire solution you proposed has nothing to do with my original post.

 

I have a credit card saved under a customer profile. The customer does not want to use that credit card anymore, and doesn't wish to save ANY credit card on their profile. We tried just "not using" the card, but we accidentally ran the card recently. We want to completely un-link ANY CARD from the customer profile, just like it were a brand new customer.

 

I could deactivate this customer profile and create a new one, but that is *very* inconvenient, because we have years of historical data in this customer's account.

 

So what is the real solution, and why after years of complaints has QBO not given us the ability to forget card information? If my customer requests we "lose their number," is it even legal for me to have the access to their card saved? We should have a way to un-link it.

Hi zoesheetmetal, 

 

You don't have to deactivate the customer. I'll guide you on how you can delete the customer's credit card information by merging a new customer with the existing one. Here are the easy steps: 

 

Create a new customer

 

  1. Click Sales from the menu and then Customers.
  2. At the upper-right, click New customer.
  3. Enter a unique name. No worries, you can edit it after merging.
  4. Click Save.

Merge the existing customer to the new one 

 

  1. On the Customers page, look and select the existing customer.
  2. Click Edit.
  3. Enter the name of the new customer you just created in the Display name as a field.
  4. Click Save.
  5. Confirm the action that you'd like to merge the two by clicking Yes

Now the existing customer is now deleted and all transactions are transferred to the new customer. From there, you can edit the customer details without the customer's payment and billing information.

Unbelievably onerous process.  This hasn't changed since 2018.  Can't you suggest to development that they just include a delete option on the Payments and Billing tab for each customer?

I'd be glad to provide you another way in deleting a customer's credit card, keithrb.

 

Since the option to delete a customer's credit card from the Payments and Billing tab is currently unavailable, you can modify the information by editing the card number. This way, the system can no longer charge their card.
 

Here's how:

 

  1. Click Sales in the left panel and choose Customers.
  2. Select the customer name, then Edit.
  3. Go to the Payment and billing tab.
  4. Choose the credit card number under the Preferred payment method field.
  5. On the Credit Card Information window, click Add.
  6. Change the following:
    • Credit card number: 4111-1111-1111-1111. This is a non-transacting test card number.
    • Expiration date: Any date in the future.

Please, you must understand that this and the "merging a dummy account" method are unbelievably roundabout ways to remove a customer's payment information. Replacing with a nonfunctional credit card doesn't even work for the folks in this thread. When I try it (on multiple customer accounts) QBO just spits back an error that the card isn't valid.

 

Deleting a customer's card information should be a basic feature and really needs to be added as quickly as possible.

I can definitely understand how convenient to have a delete option. Please know that we always take our customers' requests and ideas into consideration when prioritizing feature development.

 

That said, I recommend sending feedback to our Product Development Team to help improve your QuickBooks experience. When you're ready, here's how to do it:

 

  1. Log in to your QBO account.
  2. Go to the Gear icon at the top, then select Feedback.
  3. Enter your comments or product suggestions.
  4. Click Next to complete the process.

For now, you'll want to make sure that the format of the non-transacting card number is correct so it will be successfully saved. Alternatively, you can merge it with a customer account without credit card information by following the steps provided above.

Thanks for the feedback.  A development roadmap showing planned fixes and enhancements and their assigned release sure would be a nice feature so that users don't think their comments go down a black hole.

friend. Anyone who has performed a google search to try and find a solution to their Quickbooks Online issues know that their comments and suggestions do go in a black hole after receiving the typical canned response of "our team is looking into that feature" or something like that. The sheer amount of "basic features" you would assume are there despite your best efforts to find them are in fact not there. Its actually quite frustrating.

QB: you really need to get on the ball with this. Many governmental agencies and their subcontractors WILL NOT allow their credit card data to be stored in this manner (third-party, which is QB). Please come up with an option to delete, not edit, not add, not merge a customer with another customer, not the fake credit card entry .... none of that works or is an acceptable resolve. From the comments in this thread I have concluded that this has been an issue that has been around since at least 2018. Does it really take that long to get a change made in the program? Perhaps look at government contracts and cyber security problems, many stem from third parties and that is why they need ZERO card numbers in any accounting system or file of ANY kind and is why we need to be able to remove them entirely and immediately.

Having the exact same problem and putting in the dummy credit card number did not work.  Very frustrating!  Need to be able to delete a customer's c/c number at their request without having to create a duplicate record and merging.  QuickBooks please fix this!

Merging customers does get rid of saved card, but it is a very roundabout way of deleting information.

Why do we have to put in suggestions for this fix? I've been reading this has been an issue since at least 2018? This is absurd! I just recently had a customer wrongfully charged on her card without her or my consent and not ONE QB "Expert" could tell me how/why it happened after their "support" for 2 hours. Get it together Quickbooks. Now I have to hope they approve my request for refunded transaction fees that accrued with the debit and refund. I hope I find a company that has better service and solutions. (Everyone I spoke to was very friendly but none were very knowledgeable. Also, every time I have called to ask a question, the "experts" have had to look into it before they could give me an answer.)

This worked! Not sure why can't just delete a card either, but oh well!

Under the HELP section, the 2 options there don't work. Please get rid of those. Us business owners don't have time to deal with this stuff for hours. The 2 reps I spoke with didn't even know of this simple fix here. It took a couple hours. Why don't you put this option there and delete the other options?

Not only that, but creating a request, you never get a confirmation that it's been submitted, read, or acknowledged in any way. It is a very frustrating one-way black hole.
