How to book a payment received against two invoices issued by two different companies

I have received one check  issued by the Customer on behalf  "Company 1" covering the payment against two separate invoices issued by my two  companies "Company 1" and "Company 2". What is the best way to book this payment in my the books : "Company 1" and "Company 2"?

I'm here to guide you today to be able to record the payment received accordingly.

 

If these companies are set up as two different customers profile in your QuickBooks Desktop, you have to set up a clearing account before recording these transactions. Then, enter a receive payment to Company 1 with the check amount. Once done, transfer the balance from Company 1 to the clearing account through a journal entry. That said, you can use this account when receiving payment for Company 2.

 

Here's how to set up a clearing account:

 

  1. Select Chart of Accounts from the Lists menu.a25 1.PNG
  2. From the Account drop-down, click the New tab.a25 2.PNG
  3. Pick Bank, then hit Continue.a25 3.PNG
  4. Enter the account name, then tap Save and Close.a25 4.PNG

To record a receive payment: 

 

  1. Go to the Customers tab, then select Receive Payments from the drop-down.
  2. Input the customer's name from the Received From section, then enter the amount of the check beside Payment amount.
  3. Check the existing invoice, then enter the amount under Payment.
  4. Click Save and Close, then OK when a Payment Credit window appears.

Then, enter a journal entry to transfer the balance from Company 1 to the clearing account:

 

  1. Choose Make General Journal Entries from the Company tab.a25 9.PNG
  2. Select Accounts Receivable under the Debit column and select Company 1 under the Name column then Clearing Account under Credit.a25 10.PNG
  3. Hit the Save and Close button.

Once completed, re-enter a journal entry with Accounts Receivable account from the Credit column and add Company 2 under the Name column, then Clearing Account under Debit.a25 11.PNG

 

Lastly, apply the existing credits to mark the invoice for Company 2 as paid.

 

  1. Tap Receive payments from the Customer's tab.a25 12.PNG
  2. Click Apply Credits under the Unused Credits section.a25 13.PNG
  3. Select the available credits, then tap Done.a25 14.PNG
  4. Choose Save and Close.a25 16.PNG
