I need to connect entry balance of prepaid expenses and bill

Hello! I begin company accounting from the 01/01/2021. There is some entry balance including prepaid expenses. And in 01/03/2021 we got bill. How I can connect them? When I open the bill QBO doesn`t see entry balance ((((

Let me help you connect the prepaid expenses to your bill, 9130350810400756.

 

We can create a bill and select the expense account for prepaid expenses in the Category columns details. Let me show you how: 

  1. Click the New Plus icon.
  2. Select Bill.
  3. Choose a vendor from the Vendor dropdown. 
  4. From the Terms dropdown, select the bill's terms. This is when your vendor expects to be paid.
  5. Enter the Bill dateDue date, and Bill no. as they're recorded on the bill.
  6. Enter the bill details in the Category details section. From the Category dropdown, select the expense account for prepaid expenses you use to track expense transactions. Then enter a description. You can also enter specific products and services in the Item details section to itemize the bill.
  7. Enter the Amount and tax.
  8. If you plan to bill a customer for the expense, select the Billable checkbox and enter their name in the Customer field. Learn more about billable expenses.
  9. Press Save and close.

 

To learn more about this one, see the Enter bills and record bill payments in QuickBooks Online article. You can also create a journal entry to connect the prepaid expenses to your bill. However, I'd suggest consulting your accountant on what posting account you'll need to apply in the transaction. Here's how: 

  1. Click the New Plus icon.
  2. Select Journal entry.
  3. On the first line, select an account from the Account field. Depending on if you need to debit or credit the account, enter the amount in the correct column.
  4. On the next line, choose the other account you're moving money to or from. Depending on if you entered a debit or credit on the first line, enter the same amount in the opposite column.
  5. Check the amounts - you should have the same amount in the Credit column on one line and the Debit column on the other. This means the accounts are in balance.
  6. Enter information in the memo section so you know why you made the journal entry.
  7. Press Save and close.

Unfortunately, it doesnt work ((( QBO doesn`t see Prepaid expenses entry balance, it stays the same as for beginning of the year ((( Category details doesn`t do transaction without amount, but my bill amount containes with products I`ve bought.

In QuickBooks Online, you do not need to create bills the entry balances included your prepaid expenses account. Creating bills would only result in a double-entry of expenses that you wanted to connect and fix.

 

But if you wish to track your expenses by creating bills, it is recommended to delete the entry balance of your prepaid expense account before creating your transactions.

 

However, I'd still recommend contacting your accountant for guidance in connecting your expenses and bill. If you haven't' yet, here's a link you can use to find a bookkeeper based on your location: Find an accountant or bookkeeper near you.
