Is there a way to pay contractors from the time they record in QBTime? Several QBO 'experts' have said I have to manually do it, despite it's advertised to be able to do so.

I have to manually multiply their total hours by their rate. The problem is their time that's allocated and recorded to specific projects in QBO creates a double entry when that actual expense comes through the bank feed. That means I have to go through and not only manually split every check to each project appropriately, I have to delete every time entry because it's a duplicate. I've attached a snippet of a billable time entry for the same work prior to deleting the time entry to show how it creates a duplicate for the time and actual expense.

It doesn't matter whether or not it's billable, that's irrelevant because that's only for creating an invoice to the customer - every QBO expert was adamant this was the way until we walked through it. Everything is exported correctly from QBTime and since this issue only has to do with paying contractors it's only QBO, nothing to do with QBTime - something else QBO experts were adamant about. There's also an average of 3-5% more likelihood of human errors when something has to be done manually vs automated. So is there a way or why is it advertised as such?

Good day, Daniel!

I noticed a similar question about paying contractors was asked recently in another thread.

I wanted to provide you with a direct link to that conversation where my colleague provided a detailed response: https://quickbooks.intuit.com/learn-support/en-us/reports-and-accounting/re-is-there-a-way-to-pay-co...

Thank you for your response. Yes, my initial post automatically got miscategorized to Reports and Accounting, when it should be in Payments. The detailed response provided was a copy paste from the articles that were linked, which weren't relevant or said the same thing in my post, but neither the articles nor the detailed reply addressed the issue. Since this post is more detailed and includes and attachment, I'm going to keep this one and get rid of the first one. So, are you able to answer?

I appreciate you for getting back on this thread, daniel.

Thank you for laying out the details of your concern and providing an additional screenshot for reference.

I agree with the other expert's recommendation to manually delete the entries, as they can create duplicates in QuickBooks Online (QBO). Once you have entered the hours and rates in QB Time, it will automatically sync in QBO. It might be the reason why you are experiencing double entries.

It is the reason for double entries, that was never in question. So, your recommendation is to delete everything QBTime records and transfers to QBO - not just hours, but service items, billables, retyping all the notes, downloading and uploading all the photos... everything, for every single time entry, just to manually recreate it in QBO? The crazy thing is all that data already lives there and is appropriately associated in QBO as a time entry. So it's the experts' consensus to spend hours upon hours redoing perfectly good work?

Hello,

Has this process improved at all? It seems a bit behind the curve, and I was wondering if this has improved after we approve contractor hours in Quickbooks Online, if we can then pay them directly (automatically) for the approved hours, similar to Payroll. It seems like this should be intuitive.

The option to pay contractors after automatically approving their hours in QuickBooks Online (QBO) is a great way to streamline your workflow and save valuable time for users managing contractors, Ok28.
