Matching transactions - payment or invoice?

Hello, newbie here!

 

When I go into my Quickbooks online dashboard and see Transactions, I see mobile deposits. When I click on the links in Assign To, I see a list of payments and invoices (open balance).

 

Which should I chose?

 

We use Dupsado linked to QB to generate invoices etc..

I'm here to share details as to how you can match your payments and invoices when using a third-party application in QuickBooks Online (QBO), @Nneka. This way, you can manage your sales and keep your data updated.

 

QBO depends on the data shared with your third-party app. Based on your description, you'll have to match the appropriate invoices generated from Dupsado and the payment transactions you have to the mobile deposits. To make sure you choose and match the correct transaction, you may also verify with them directly. This way, you'll be guided accordingly in managing your invoices and payment transactions in QBO.

Please can you help me understand if I should chose a *Payment* or *Invoice* when I match a transaction? I see both available.

Please can you help me understand if I should match a Mobile Deposit transaction with a *Payment* or *Invoice*? I see both options. I would assume Payment, but want to be sure.

You are right, @Nneka

 

In QuickBooks Online, you can match the deposit to the payment. QuickBooks matched the downloaded transaction with the one you already entered with the same amount. This links them together so you don't get duplicates.

 

To proceed, here's how:

 

  1. Go to the Banking menu or Transactions menu.
  2. Choose the tile for the account you want to review.
  3. Click the For Review tab.
  4. Find a downloaded transaction with the Match option in the Action column.

  5. Take note of the DateDescriptionPayee, and amount spent or received.
  6. Click the transaction to expand the view and review the Matching records found in QuickBooks. 
  7. Choose the link next to each match to get more details.
  8. Make sure this is the correct match. In particular, review the Deposit toPayment method, and Bank account fields on forms for the existing transaction in QuickBooks.
  9. If this is the correct match, close the open transaction.
  10. Lastly, click Match.

After reviewing your transactions, you can start reconciling your accounts so they always match your bank and credit card statements.
