Over payment

I’ve got you the steps to handle your client’s overpayment in QuickBooks Desktop (QBDT), @CharmCr. Doing so will offset the balance on your client's future or new contracts.

To ensure that we utilize the overpaid amount in future transactions, we can create a credit entry that will retain the balance for future use. Here's how:

  1. In the Customers menu, select Create Credit Memos/Refunds.
  2. Select your customer from the Customer: Job drop-down.
  3. Enter the items you're giving credit for, then select Save & Close.

Furthermore, learn to apply this to the new invoice by referring to the guidelines outlined in Option 3: Apply a credit to an invoice in this article: Give your customer a credit or refund in QuickBooks Desktop for Windows.

If you have created a job for previous contracts and now want to apply for a new one, you will need to transfer the credit from the old job to the new one. Don't worry, detailed instructions on how to do this can be found in the following resource: Transfer customer credit from one job to another in QuickBooks Desktop.

Should you need further assistance or have any queries about managing overpayments, and other QuickBooks transactions; please know that I’m always here to help. Have a good one!
