Passing Credit Card Processing Fee to Customer on Invoice

I want to add the credit card processing fee to an invoice without being charged the processing fee for the base amount and the processing fee. I understand that Quickbooks Online doesn't currently offer this capability, but am wondering if it is in development? Or if it will be in the near future? More of our customers are choosing to pay via debit/credit card, and we will be forced to use different accounting software. I don't want to change because I like Quickbooks Online :)

Passing Credit Card Processing Fee to Customer on Invoice

I hope you're having a great day, @TCOW.

I'm happy QuickBooks Online (QBO) suits your business needs. As of now, we don't have a specific time frame as to when this feature will roll out. I recommend checking our QuickBooks Blog page to learn what's new in QuickBooks Online (QBO).

In the meantime, you'll want to enter another line item in the invoice for the processing fee with a negative amount.

Additionally, here's a great article that you can check for reference. This link can guide you through the steps in personalizing your invoice: Customize invoices, estimates, and sales receipts in QuickBooks Online.

In case you have other questions or queries, you can always get back to me. I'm always here to help you. Keep safe!

As another option, ask your customers to utilize MP as the payment service. Stretch their cash flow by creating up to a 45-day float by paying bills via a credit card, even if the vendor doesn’t accept credit cards.
Vendors get paid with a physical check or with electronic bank transfers.

First thing is to check your state laws, there are some states where surcharging for using a CC is illegal.

For those states that are ok with it, there is still a problem. You are required to put a notice on the store, the check out pages, and on the receipt it must specify the surcharge item and amount, that you surcharge for using a CC and how much, the law says a % is not legal. In addition to that, you are not allowed to surcharge when a debit or prepaid card is used at all. So if you are taking payments on line I don't see how you can know whether or not a card is a prepaid or debit card in advance.

You would have to create a service type item called surcharge and include it on the invoice for the customer, that would mean you know in advance they will use a CC, and not a debit or prepaid card

Best option is just raise your prices slightly, or accept that a merchant charge is just a cost of doing business.

I agree, this should already be an option.  Frustrating they don't even have it in the near timeline.  I like Quickbooks online, but now with the ridiculously increased rate they charge for ACH transfers, I may start looking elsewhere.

Utilize another payment processor to accept ACH for free and integrate it with your QBO account. You can switch to another accounting app and yet you will still need a 3rd party payment processor to accept ACH for free.

Thank you for your information!  Do you have any suggestions of a trusted, reliable 3rd party ACH processor?

If you are a B2B company, explore these apps

You will need other options if you are a B2C company.

Thank you for reaching out to the Community, @Tornado Tim. I’ll share some information about automatically adding credit card fees to an invoice in QuickBooks Online (QBO).

Currently, the option to automatically add the credit card fee to an invoice is unavailable. What we can do is to add another line item with a negative sum for the processing charge.

Rest assured that our product developers are always open to suggestions to improve our products and are able to meet our customers’ business needs.

Thus, I recommend that you send your feedback directly to our product engineers. They will be able to consider this option and assist you with your business demands in this manner.

Here’s how you can submit feedback in QuickBooks Online (QBO):

  1. Go to the Gear icon.
  2. Under the Profile column, click on Feedback.
  3. Share your feedback. Then, click Next.

Furthermore, I added this article for your reference about customizing invoices, estimates, and sales receipts in QuickBooks Online.

Feel free to add a comment if you need further assistance with any QuickBooks concerns. Stay safe!

QB Payment doesn't yet offer such feature. Consider having a 3rd party merchant service to integrate with your QBO.

Hi there, my-answer-is-nonsense.

I can share some information about negative-sum in QuickBooks Online.

The term negative-sum game describes situations in which the total of gains and losses is less than zeroCustomize invoices, estimates, and sales receipts in QuickBooks Online.

@LeizylM, I don't know what game you're talking about. We are a small business and only want to pass credit card charges to our clients IF they pay with a credit card.

Your colleague suggested adding the charge as another line with a negative sum. These terms bother me. I first thought of a negative number but it wouldn't make sense because it would reduce my sales. Then, your response talks about a negative-sum game, which confuses me. can we just use simple terms here or am I missing something?

this is actually total BS that they are giving you this run-around.

It is a VERY simple question, that requires a simple answer. "negative sum" has zero to do with automated credit-card processing fees added when the client pays with a credit-card.

I accepted over $250,000 in credit card payments last year, and am so sick of them either ignoring this question, request, or giving me some bullsht answer.  We will be switching accounting software this year since it feels like quickbooks is ran by a circus.
