Quick Books Online - Estimate/Invoice Template

I have designed a custom Invoice and custom estimate form using the custom form styles tab under settings in quickbooks online. I have made both my default. When I go to make a new estimate or new invoice the standard template still shows up. I can not figure out how to send a new invoice or new template using the ones I made and set to be the default.

In both the new and old layout, the invoice or estimate you generate will show the original look for each entry. To confirm whether you're using a custom template in the old invoicing experience, simply click the Customize button at the bottom of the Invoice page.

 

For the new invoice layout, click on the Design tile located on the right side of the Invoice page. This will help determine whether you're using the customized sales form. 

 

You'll have to click the Design tile on the right hand of the Invoice page to view the default custom form template you've selected. In addition, let's go to the Custom form styles page and make sure that you set the customized invoice and estimate as the default template. 

 

Here's how:

 

  1. In your company, head to the Gear icon ⚙ in the upper right and choose Custom form styles.
  2. Look for the template from the list and check if you'll see the default beside the sales form.
  3. Otherwise, click the drop-down ▼ in the Action column and choose Make default.

Quick Books Online - Estimate/Invoice Template

I have done everything you stated. Just to be clear, I have designed a custom template under the custom form styles page, made that my default template for invoices and also made a default template for estimates. When I go to click "new" and choose estimate or invoice these templates are not being used. It reverts back to the standard template. Some of the information on the standard template is similar to the custom one I made but the biggest issue if that the "columns" are not what I made on my custom template. They are the standard templates "columns". I have attached pictures to show you what I mean. I have attached a picture of the custom template, the standard template, a picture showing that I set them as default and a picture showing that I went to the design tab and made sure the "marsh marine transport" template was selected. Thanks for your help. 

 

Disregard I only attached one picture as thats all it would allow.

Let's figure out why the custom templates you made don't show up when creating your sales forms, Robert.

 

When choosing a custom template for an invoice or estimate, the design doesn't appear directly in the invoice window. You can only view it after clicking Print and download. Here's how to check it:

 

  1. Go to Sales, then Invoices.
  2. Select an invoice and tap Edit invoice.
  3. Click the Design dropdown arrow.
  4. Check and select the custom template you want to use.
  5. Tap the dropdown arrow beside the Review and send button on the lower right portion. Then, click Print and download.

 

If your custom template is not displaying, we can perform basic troubleshooting to isolate the issue. It will help us determine if it's a browser problem or an accumulated cache. Start by opening a private or incognito window on your QuickBooks Online (QBO) account. Based on your browser type, please refer to the keyboard shortcuts below:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

 

After logging in, open an invoice and click Print and download. If it works, return to your regular browser and clear the cache so we can start with a clean slate. Alternatively, you can utilize different supported browsers.

Quick Books Online - Estimate/Invoice Template

This is the frustrating part. Everyone from this company recommends the same stuff that doesn't work. I have no idea how you guys call yourself quickbooks experts. I've watched every video. I have read every forum. Still doesn't work. This is very simple. I made a template. Said template does not show up when I make invoice. It is selected as the default both in the custom form tabs and the design tab. It still doesn't show up. The columns that come standard do not work with my company. I made my own. They still don't show up. I am going to attempt to find a product for book keeping that employs people who are actually "experts" not ones who just forward me a video I've already watched 12 times. Thanks

I agree with Robert 1000% on this. Quickbooks team and "experts" absolutely have NO idea what they're talking about. The product is completely broken. I'm running into TONS of custom template issues and calling Quickbooks "Experts", they don't even know, they logged into my computer and still can't figure it out, they even asked me to "Google it" and see if I can figure it out. IT'S BROKEN from Quickbooks. FIX IT. Stop rolling out mandatory things without checking it and testing it with multiple users first. Completely broken.

I also cannot get this to work.  I see my custom templates and they are marked as Default but the invoices and estimates always appear as the standard format.

It isn't the experience we want you to have when using the program. It would be best to contact our Customer Care Team so they can check on your end and conduct further investigation to determine why your invoices are using the standard template even after changing the default template to your preference. Here's how:

 

  1. Sign in to your QuickBooks Online company.
  2. On the top-right corner, select Help (?).
  3. Select either Assistant or Search. Depending on what you choose you can click Talk to a human, connect by starting a chat or Get a callback.
