Assign invoice template to a project?

We are an engineering firm therefore tracked everything by hours and project number. Is there a way to assign the correct invoice template to the quickbooks instead of choosing one every single time we need to create an invoice? This should be simple to do but can't find any way to do it.

Assign invoice template to a project?

Hello, hming.

I'd like to discuss with you a solution to help you assign an invoice template to your projects.

A template can only be assigned to a transaction form, so we're unable to assign it directly to a customer or job profile.

What you'll want to do is to assign a template to a customer invoice and memorize it:

  1. Go to the Customers menu, then select Create Invoices
  2. Select the customer or job for a project under CUSTOMER:JOB.
  3. Set your preferred template for the TEMPLATE field.
  4. Add a line item (it could be a placeholder line item or a recurring service or item).
  5. Once done, click the Memorize button.
  6. Set a specific option for reminders (you can also automate the entry if necessary).
  7. When you're done setting up the memorization settings, click OK.

Instead of using the Create invoice function, create the invoices on the Memorized Transactions List page  (under the Lists menu). Edit the line items if needed then click Save & Close

These invoices will always use the templates assigned to them after memorizing.

If you need help tweaking your templates, check out this article for reference: Use and customize form templates.

If you'd like to learn more about memorizing a transaction, you can read this article: Create, edit, or delete memorized transactions.

Need to check your profit and income transactions from your projects? There are specific reports you can use to see the data you need. This article will help you familiarize what you can pull up: Understand reports.

Do you need to tackle other tasks in the future? Please let me know and I'll gladly cover the details ranging from customer transactions to reports. I'll see you around in the Community space.
