How to add "Shipping" charge to the invoice template, in the summary, not as line-item?

Hi, we need to charge customer the shipping cost. I'd like to customize the invoice template to show shipping charges in the "summary" section, a layout like shown below:

I googled around, seems that everybody is talking about creating an item, call it "Shipping", and add it to the item list section instead.

Just wondering is there a way to add this NOT as a line item?

Any comments/suggestions are appreciated!

I checked around and this doesn't appear to be an option.

Seems that this is do-able in QBO, but not in QB Desktop, sad... :smileysad:

Anyway, thanks for confirming this.

Just chat with QB Tech Support, and got confirmed that this is a "NO WAY".

Can't believe this is something implemented in QBO, but got disregarded in QB Desktop. Feels that INTUIT is trying to push everyone of us onto QBO?

RE: Just chat with QB Tech Support, and got confirmed that this is a "NO WAY".

Right.

RE: Can't believe this is something implemented in QBO, but got disregarded in QB Desktop.

It didn't really happen that way.  QB Desktop was around for years before QB Online.  QB Online implemented invoices differently in many ways, and in most aspects with less functionality, not more.  You like this particular difference, but others either don't care or like the way desktop does it just fine.

RE: Feels that INTUIT is trying to push everyone of us onto QBO?

At one point they were, but I have heard that has changed as they've finally realized that a 1) matching the feature set for desktop in a browser based app is a herculean task that'll never happen, 2)  there is a huge percentage of the potential customer base that wants to keep their accounting in house, not online, and has very good reasons for that.

Given the relatively expensive QB Online pricing (easily 3 - 5x the cost of desktop, sometimes much more), it's hard to accuse them of really trying to move the existing desktop customers.  If they were that hell-bent, online would be better and cheaper in most ways.  It's neither.

How to add "Shipping" charge to the invoice template, in the summary, not as line-item?

The real issue with using "shipping" as a line item is that tax is automatically applied. It doesn't make sense to charge the customer sales tax on a shipping charge. You can manually change tax to non tax, but it is a bit clunky to have to do so. It also looks cleaner to have it just under tax at the bottom right hand corner. Similar to the original post (just right under rather than right over, as again tax is not applied to this cost.) Intuit if you're listening please add shipping as a function similar to tax. That would be awesome. Thanks!

How to add "Shipping" charge to the invoice template, in the summary, not as line-item?

This is 2021 and I hoped that there would be an update to this conversation. After setting up shipping charges as an "other charge" item, and making endless attempts with various templates to add it to the footer, it just won't happen. I spent time in a Quickbooks chat and he said this feature is simply not available in Quickbooks.

My only alternative will be to design a decent invoice in Excel or Word, create a invoice in QB simple for accounting purposes that will keep the books straight.

"My only alternative will be to design a decent invoice in Excel or Word, create a invoice in QB simple for accounting purposes that will keep the books straight." -- that's exactly what I've been doing in the past 2 years... :P

Hi @COORDLOGICAAZCOM.

Currently, there isn't a way to add the shipping in an invoice template. I know that this would help you specify the shipping for the items and I'm taking note of this one.

In the meantime, you can follow @EPANCHAM and @LottieJosie's suggestion on how to add the shipping by designing the invoice template to Excel or Word.

I also encourage you to visit our QuickBooks Firm for the Future site for industry news and product updates.

Feel free to leave a comment if you have other concerns with customizing an invoice template. I'll get back to help. Have a great rest of your day!

How to add "Shipping" charge to the invoice template, in the summary, not as line-item?

Hi Quickbooks team members,

It's years of back and forth conversations about Shipping charges being added to the invoice template in the summary, not as line-item. Clearly there is a demand for the change.  We are all curious - is someone at Quickbooks working on adding this option?  Thank you for your time.

Let me help share information about the shipping charges in invoices, @Amy B2.

As of the moment, there isn't an integrated way to customize the template to automatically add the shipping charges as a subtotal. We're unable to provide the exact turnaround time as to when this feature will be added to the program design.

While the option is not yet available, it is recommended to manually add the shipping charges as one of the line items while creating invoices. And I'd highly suggest letting our product developers know about your request by sending feedback. I'll show you how.

  1. Go to Help.
  2. Select Send Feedback Online.
  3. Click Product Suggestion.
  4. Under Product Area, choose Customers Sales.
  5. Enter a few words describing how you wanted to have the option to customize the invoice template and add the shipping charges.
  6. Select Send Feedback.
  7. Click Close Window.

I'm adding this article with the topics you can use while recording the common customer transactions: The Customer Transaction Workflows in QuickBooks Desktop.
