How to Print Mail Labels in Desktop Enterprise Suite to a Label Printer for Payables

We are using the Windows version of Desktop Enterprise Suite

 

We need to print address labels for all of our payables each week as we are not using window envelopes anymore for security reasons. I would like to purchase a dedicated label printer to do this so that it only prints out individual labels needed. 

 

Can anyone assist with this? Do you need to make a report? Can you print to single labels on a roll?

1.) Can you use any size label? How does it know what size label you are using?

2.) We want to print weekly payables. After printing the checks how do I print select that that list of vendors to print?

QBDT supports a variety of label formats. Here's how to see the available formats:

 

  1. Go to Files, Print forms, and select Labels.
  2. Click OK and select the Settings tab.
  3. In the Label Format dropdown, the available sizes will be shown.

Once you've selected a format, QBDT will recognize and apply it.
 

Regarding your second concern, you can select the vendors you want to print labels for on the Select Labels to Print page:

 

  1. Go to Files, Print forms, and select Labels.
  2. In the Name dropdown, choose Multiple names.
  3. Tick the names of the vendors you want to print the labels for.

Checking off vendors from a list would be very tedious. You mentioned a report. Can a report be easily made to select all of the vendors from the last payable set without manually having to do anything?

For now, running a report that shows all vendors from the last payable for printing mail labels is unavailable in QuickBooks Desktop. I recommend sending feedback to let our product team know how important this is for your business. 

 

  1. Go to the Help option.
  2. Select the Send Feedback Online option.
  3. Select the Product Suggestion option—a pop-up window displays.
  4. Enter your feedback suggestion.
  5. Click the Send Feedback button. The feedback is sent.

 

As a workaround, you can use the Transaction List by Vendor reports and customize it to show the information you want in QuickBooks. To do so, follow the steps outlined below:

 

  1. On the top menu, click Reports.
  2. Hover on Vendors & Payables, then select Transaction List by Vendor.
  3. Click Customize Report.
  4. On the Display tab, choose the correct date of the transaction.
  5. Click OK.

 

Once done, export it and then use the file to create vendor labels.

I wanted to let you know that, printing payable checks and labels in one action isn't a supported feature in QuickBooks Desktop. We can only print them separately.

 

Also, there isn't a direct way to print the address labels for a list of payables. For now, we can pull up the Transaction list by Vendor. Customize the report to display the address of each transaction.

 

Here's how:

 

  1. On the top menu, click Reports.
  2. Hover on Vendors & Payables, then select Transaction List by Vendor.
  3. Click Customize Report.
  4. On the Display tab, put a checkmark on the address.
  5. Click OK.

 

Next, print the report by clicking the Print icon above.
