IIF Edit

We want to import an IIF file from our vendor's website for faster, more efficient entry of their bills.  We downloaded one as a test and I followed these instructions to view it before attempting to import it.

Edit an IIF file
  1. In Microsoft Excel, go to File and select Open.
  2. Browse to your IIF file.
  3. In the File type drop-down, select All Files.
  4. Select the IIF and then select Open.
  5. In the Text Import Wizard, select Next, then Next and Finish.
  6. Make the changes to your IIF file.
  7. Go to the File menu and select Save.
  8. Select Yes.
  9. Close Excel. You'll get a prompt to save the IIF again. Select Don't Save.

However, here's what I see in Excel:

Not sure what that is, but it's not an IIF file.

It sort of looks like a list of IIF file names, stored in some sort of non-text file type.

Thanks for the input.  Would you suggest that we try a csv or excel download?  Which would you recommend?

Hello there, @Holly31.

We have to use .IIF files when importing transactions to QuickBooks Desktop (QBDT). That said, you need to use an Excel .IIF file when preparing your vendor bills for import. You don't need to worry since the system makes it easy for you to import or export .IIF files since QBDT prepared file-formats readily available. To get started, you can download and install the .IIF import kit to save time and improve your results.

When trying to import the file, you must review the details from there first. Double-check the account names used, the spelling and any other typographical error, and ensure that the names used exist and are acceptable in QuickBooks. You can find some sample files that give you the correct format and instructions to help import your transactions accordingly from these articles:

Also, check out this link for other ways on how to import and export data in QBDT.

If you have any other questions, just leave a comment below. I'm always here to help. Keep safe always!

@Holly31

You may need a 3rd party tool to import data from CSV/XLS format.

Wow!  How complicated.  Not sure that I have the time to invest in this.  No wonder my client has been manually entering invoices.  If there's a simple step by step, I'm all ears.  I'm good but not an IT professional!

Which Ecommerce platform do you have? You may consider a connector to automate the process.

You mentioned "website" in your first post. Do they use a construction management app? You can prepare the Invoice data in XLS and import them into QBD file in bulk

No.  They use QB Enterprise 2020 for Contractors.  I'm reaching the conclusion that this platform is not right for the client.

Well, that's not happening so guess we are just out of luck.  Thanks for stepping in with suggestions.  I do appreciate it even if it does not make sense for the client.  There are simply too many gaps for them to invest more money in QB.
