Quickbook Online API : purchase, deposit, creditcardpayment does not go to review section in bank, directly goes to expenses

We are using quickbooks api to create purchase, deposit and creaditcardoayment but those entries are directly visible under Expenses (Without any review).

When we upload the QBO file using online portal, payments/entries are visible in "Banking > Review section" where end user can "review and Accept" the payments then those are visible in Expenses. But this workflow is happening using API.

What can be done to create purchase, deposit and creaditcardoayment entries using API and have them first visible in "Accountant View : Banking > For Review" section ?

below are the API's we are using

Quickbook Online API : purchase, deposit, creditcardpayment does not go to review section in bank, directly goes to expenses

I really appreciate you for taking the time to post your concern here in the Community, @zodgevaibhav

Let me share some information on how QuickBooks Online banking works.

In QuickBooks Online (QBO), we can create rules that automatically categorize transactions. When you set up a bank rule, you no longer have to look for a match on your bank feed transactions manually. The more we utilize bank rules, the better it gets as categorizing. Here's how:

  1. From the Banking menu, choose Rules
  2. In the upper-right corner, click on New Rule.
  3. Fill in the required fields of the form.
  4. Set the rule conditions. You can set a single rule with up to 5 conditions. Set and include the following, then select + Add a condition.
  5. In the Conditions fields, specify whether the rule applies to Description, Bank text, or Amount. Then select Contains, Doesn't contain or Is exactly to decide how QuickBooks applies the rules.
  6. At the bottom, ensure that Automatically confirm transactions this rule applies to is turned on.
  7. Select the settings for the rule. Select the Transaction TypeCategoryTags, and Payee to apply.
  8. Click on Save.

QuickBooks automatically applies your rules to transactions in the For Review tab. These are the ones you need to review every day.

Also, in QBO, there are cases where some of the transactions can't find their match from existing records. You may click on this article to know the possible reasons: Find out why there are transactions that don’t have a match.

Additionally, I've included an article that will guide you in case you want to categorize your banking transactions in the future: Assign, Categorize, Edit, and Add your Downloaded Banking Transactions.

Should you need any additional assistance in matching your bank transactions, I'm just a reply away.

Quickbook Online API : purchase, deposit, creditcardpayment does not go to review section in bank, directly goes to expenses

Thank you for reply, but issue still not resolved,

two questions if you can please help with,

1. Are these rules expected to work with API pushed deposit/purchased/creditcardpayment ? (I tried but rules are not getting applied)

2. Is there any flag in API where all deposit/purchased/creditcardpayment done through API will go for review ?

By any change we can connect and do working session to understand the problem/solution please ?

Hello, zodgevaibhav.

Thanks for getting back to us! I'll point us to right direction to help us fix the API for the Banking feature.

We may need to do some tweaking on the API tools for the rules to work with it. The same can be said for the flag that tells the transaction to go to the For review section.

It would be best to post these questions in our Intuit Developers Community page. The dedicated support agents and fellow programmers would be able to provide more details and ideas about how to resolve the API issues for the Banking feature.

We can post the questions here: Intuit Developer Help page for QuickBooks Online

Aside from the tools you've mentioned, I'll also share this document in case you need help with the functions in the future: https://developer.intuit.com/app/developer/qbo/docs/get-started.

After getting all of the transactions in, I'm sure you'll also need to review how they affect your overall financials. We can run reports to do this, and if you need help with it, I'll share this article with you: Run reports in QuickBooks Online.

You can always drop by if you have questions about managing your transactions in QuickBooks Online. Aside from that, do you also need help with certain reports or entries? Let me know and I'll help you out.
