Square Transactions

My client receives payments sometimes from Square.  He does not have it connected to his QBO account.  His bank, which is connected through the bank feed, shows the deposits from square.  Invoices are created for all customers.  Payments received flow from undeposited funds all the way to the bank.  How would I set up the account from Square so the money received flows from undeposited funds to Square and then to the bank?  Would Square need to be set up as a bank like Paypal is set up?

Square Transactions

It's nice to see you here in the Community, @aterral. I'll be happy to address your concern about setting up a Square account in QuickBooks Online (QBO).

Since the Square deposits are already showing in your bank feed, you don't need to set up a new account to show the money flow. We'll need to match them to the existing transactions transferred from the Undeposited Funds to the bank. Here's how:

  1. Go to Banking and select the bank account tile.
  2. Locate and click the downloaded transaction. If QBO can detect a match, click the Match option. Otherwise, select the Find Match radio button.
  3. Utilize the Filter section to narrow the list of possible matches.
  4. Put a checkmark beside the transaction you want to match, then hit Save.

If you wish to integrate QBO with Square to import your sales transactions automatically into the program, you may refer to the steps provided in this link: Connect to Square app.

Additionally, it's a good practice to reconcile your accounts monthly to ensure they correspond to your bank statements. Doing so guarantees that they are balanced and accurate.

Feel free to get back to us anytime whenever you have additional questions about setting up an account in QBO. We're always around to offer assistance. Keep safe and have a wonderful day ahead.
