When creating an invoice is there a way to update my company information just for that customer invoice without updating the company name universally across the whole account?

I'm using QBO Advanced and the company has a DBA. When invoicing, I'd like some of my customers to see the legal name and for other customers I'd like them to see the DBA name. Is this possible?

I want to inform you that QuickBooks Online Advanced doesn't support automatic switching between legal names and DBA (Doing Business As) names for individual customers. However, there are several methods you can use to manage how your company is represented on invoices.

 

First, you can use custom invoice templates to create separate templates that display either your legal name or your DBA name.

 

Here’s how:

 

  1. Go to the Gear Icon.
  2. Select Custom Form Styles.
  3. Click New, then hit Invoice.
  4. In the template editor, you can modify the header to include either your legal name or DBA name.
  5. Give each template a distinct name (e.g., "Legal Name Invoice" and "DBA Invoice").
  6. When creating an invoice for a specific customer, select the appropriate template from the "Customize" dropdown menu.

 

Doing this allows you to tailor invoices based on customer preferences without altering your main company information.

 

Another option is to manually edit your invoice. You can create a new invoice and update the company name in the invoice header to reflect either your legal name or your DBA name before saving or sending it. This method is straightforward but requires careful attention each time you create an invoice.

Hi Jovelyn and thanks for replying, but when I follow the steps you outlined, the company name still gets changed globally to the last Custom Form Style created. 

Ex:

I made the DBA invoice.  Saved it

Then I created the Legal name invoice. Saved It.

If I go back and open the DBA invoice, it automatically converted the invoice to show the Legal name instead of the DBA.

 

How do I get the invoices to stay with the separate names.
