Assigning payroll item in quickbooks

I cannot seem to figure out how to assign payroll items in QBO. When I try to export approved hours I can successfully export my employee's hours (paid hourly) but I cannot export my own hours (salary). I need to export my own for billing purposes. 

 

Using the Payroll Mapping Tool in QuickBooks Time I get the following message under my name only:

 

No payroll items assigned
Assign payroll items to this employee in QuickBooks first and re-import.
 
I've gone through my pay settings in QBO numerous times, even switching myself to an hourly setting, but to no avail. 
 
Any solutions would be much appreciated.

I reached out to our Tier 2 support and they figured out that your employee had an inactive profile in QuickBooks Time that the payroll items were syncing to. Through some Tier 2 magic, they were able to fix this. 

 

Next time you're in QuickBooks Time, run another import and those payroll items should show up for the active profile this time. Then export their time.

 

If you run into any issues, go ahead and reply to this message and I'll happily take a look. I'm eager to help you get this sorted out. :)

  1. Select Payroll menu > Employees.
  2. Select name of the employee.
  3. Select Edit employee.
  4. Under How much do you pay. . ., select Add additional pay types.
  5. Select the pay type that fits your purposes.
    • You may need to select Even more ways to pay. . . to make the pay type you're looking for available.
    • Enter an amount in the $ field to make the amount recurring, or leave it blank and just enter the amount when running payroll.
    • To rename or change the pay type, select the edit (pencil) icon beside the pay type's name.
  6. Select Done.

Thanks for reaching out to the Community with your question about using the Payroll Mapping Tool in your QuickBooks Time account. Allow me to provide you with some information. First, let's have you run an import from QB Time.

 

  1. Log in to QuickBooks Time as admin.
  2. Go to the QuickBooks menu in the upper right hand corner and choose Import

 

If your time still doesn't export, then try reassigning yourself a different pay item(s) in your QuickBooks Online account like my colleague mentions above. Afterward, assign the correct one(s) back and save. This will allow the integration to acknowledge a change was made and needs to re-sync those fields. 

 

Once you're finished, it's important to run another import within QB Time like before. 

 

In the end, check the Payroll Items Mapping Tool to see your salary pay items. 

 

Inform me on how these steps go and if this resolves your issue. It's my priority that this gets taken care of as soon as possible. I'll be back around shortly.

I did as requested but unfortunately, it did not entirely work. The import worked:

 

Payroll Item Import

Updated Payroll Items
  • Deleted Salary for user: Roborian Tonicao
  • Imported Regular Pay for user: Roborian Tonicao
  • Imported Hourly 2 for user: Roborian Tonicao
  • Imported Commission for user: Roborian Tonicao
  • Imported Double Overtime Pay for user: Roborian Tonicao
  • Imported Overtime Pay for user: Roborian Tonicao
  • Imported Bonus for user: Roborian Tonicao
  • Imported Reimbursement for user: Roborian Tonicao

 

When I then try to export I sync error occurs and the log reads many multiples of the following:

 

Timesheet Export Errors:

  • Roborian Tonicao: 29 Mar: Error exporting 4.02 hours, the user doesn't have any payroll items assigned. Use the Payroll Item Mapping Tool to assign payroll items to this user and then re-export the time.

 

and payroll mapping says:

 

No payroll items assigned

Assign payroll items to this employee in QuickBooks first and re-import.

Hello - 

I am having a very similar problem : 

 

I have not changed any settings and this has just happened on this weeks payroll. 

When I try to export the approved time from t-sheets I get the error for all my associates: 

 
No payroll items assigned :
Jun 6: Error exporting 6.82 hours, the user doesn't have any payroll items assigned. Use the Payroll Item Mapping Tool to assign payroll items to this user and then re-export the time.
 
However when I go to the mapping tool I get this error:
Assign payroll items to this employee in QuickBooks first and re-import. 
 
Any help on this issue would be great.

Welcome to the QuickBooks Community! We will love to help you! As my colleague Candice mentioned, to get this problem rectified follow these steps below:

 

  1. Log in to QuickBooks Time as admin.
  2. Go to the QuickBooks menu in the upper right hand corner and choose Import

 

If the employee time is unable to export, assign them a different pay item and reassign the correct pay items. Save these changes to allow them to integrate and re-sync.

 

From there, re-run another import to QuickBooks Time and proceed to use the  Payroll Items Mapping Tool for verification.

Hello. Sadly this is not working. The mapping function on the side is not assigning correctly. I have tried to adjust it but I am not getting options to do so. Please take a look. Again no settings have changed so I don't know why all of a sudden this has started.

I appreciate you taking the time to try to get the mapping figured out. I know how it feels when all of a sudden something isn't working as designed and you can't determine the cause.

 

At this point, it would be best if you reached out to our QuickBooks Time support team so they can take a look at your account. They have the visibility and tools to determine the best course of action.

When I go to the payroll mapping tool. 

 

When I go to Map Employees. 

 

I am seeing this for all employees

 

"No Payroll Items Assigned"

Assign payroll items to this employee in quickbooks first and re-import. 

 

How can this be fixed? All my employees do have payroll items in Quicksbooks and I've imported successfully but it isn't showing up

Thanks for following the thread and letting us know that you are also experiencing this issue. 

 

To clarify, have you run through the steps provided by my colleagues Candice and Sasha above? If not, you'll want to make sure that you're trying these steps. 

 

  1. Log in to QuickBooks Time as admin.
  2. Go to the QuickBooks menu in the upper right-hand corner and choose Import

If the import still doesn't bring those pay items over into QB Time:

  1. Log into QuickBooks Online
  2. Assign them a different pay item, save, and then reassign the correct pay items. 
  3. Save these changes and import again to QuickBooks Time.

This will cause the integration to re-sync that profile and bring over all their information again.

 

However, if these steps aren't working for you, then you'll need to contact our Support Team

I have the same issue with QB and TSheets. I have spent hours on the phone with both QB and Tsheets staff and am stuck in a horrible feedback loop where both sides of the business tell me to contact the other team. 

 

When I try to approve my hours in QB I get the following errors and have for months now:

 

Jerry: Oct 5: Error exporting 3.00 hours, the user doesn't have any payroll items assigned. Use the Payroll Item Mapping Tool to assign payroll items to this user and then re-export the time.

 

In Tsheets I get the run pay roll item notice But I cannot find this tool no matter how much I try. 

Plus any reference to the tool is throwing a dead link:

I have followed so many sets of instructions around how to resolve this issue without success. 

 

I could really use some help from someone with deep knowledge of this issue.

This is happening to me now that there was an issue with the certificates for QuickBooks time. How does the mapping get fixed? All of my employees have mapping in their file but I am still getting the mapping error and a couple employees don't import.

I'm here to help resolve the error you received so you can continue approving employee hours.

 

Since QuickBooks Online is the main hub, let's set up a payroll item there first. Here's how:

 

  1. From the Payroll tab, select Employees.
  2. Select the employee's name.
  3. Click the Deductions & contributions section.
  4. Set up an item.
  5. Click Done.

 

Once done, the data will sync into your QuickBooks Time by clicking the Import button.

 

 

From there, you can approve the employee's time.
