Time reporting

QBO is pre-populating employee bill rates for my consultants...and the rates are all wrong! Has anyone else experienced this?

Time reporting

Hello there, @WonderingMinds. It would be my pleasure to assist you with resolving the issue of inaccurate pre-populated rates in QuickBooks, which may result in inaccurate time reporting. Allow me to provide information on how to correct these rates and ensure that your time reporting is accurate and reliable.

Sync issues occur when pay types are not mapped correctly. Ensure that the billing rate is successfully set up in your employees' profiles and matches the time types in QuickBooks Time to resolve this issue.

You can refer to the instructions below to verify if the rates are added accordingly:

  1. Open your QuickBooks Online account.
  2. Go to the Payroll menu, then choose Employees.
  3. Select each employee.
  4. Modify the bill rate to the correct value. Make sure to double-check the rate you enter to ensure it's accurate.
  5. Check the pay types.
  6. Click Save when done.

Once you have updated the bill rates, make sure that any new transactions, such as invoices or timesheets, indicate the correct rates for the employees. In case you have already generated invoices or other transactions with inaccurate rates, you may have to manually review and amend those transactions to reflect the updated rates.

If you need to edit the rate for the service item, here are the steps you can perform:

  1. Go to the Sales menu.
  2. Click Product and Services.
  3. Look for the service item you need to edit.
  4. Select the Edit button.
  5. Enter an amount on the Sale price/rate field.
  6. Once done, click Save and close

Nevertheless, if you have verified that the rates and setup of your consultants are accurate, I would advise reaching out to our QuickBooks Time Support Team. They have the expertise to review the information of your consultants and ensure that the bill rates are correctly populated. To reach them, you can click this article: Contact QuickBooks Time support.

Time reporting

I appreciate the response. However, this is not the appropriate remedy. Our employees have different bill rates for different projects and different rates for each level of consultant (a matrix). We have walked Customer Support through the issue (multiple times) whereby QBO is pre-populating rates when the default rate is set at Zero. Customer support has been perplexed and unable to correct the software glitch. The matter has also been raised to the Office of the President of Inuit who has also witnessed the software error and is perplexed. Intuit has been attempting to resolve this for nearly 18 months...unsucessfully.
