Unapproved time sheets are locked

Long story short - I approved, exported, then unapproved all time for the month of May, for myself and my sole employee. 

 

The approvals report in Quickbooks time shows that all hours are unapproved. There are no corresponding time entries in QBO invoices. This is as it should be. 

 

However, in the QBT time sheet itself, all of the entries are locked. Attempting to edit them generates an error message that I cannot edit because it is approved and exported, and gives me the hint to try again after a manager unapproves or rejects the time sheet. But the sheet is unapproved. I am not given an option on the approvals page to reject.

Hope you are doing great..!!

How to unlock time:
  1. In QuickBooks Time, go to the QuickBooks dropdown and select Unlock Exported Time.
  2. Choose a Start Date and an End Date.
  3. Select All employees and choose individuals, groups of employees, or all employees to unlock time for.
  4. The timesheets that will be unlocked are displayed for reference. Select Unlock Timesheets.
  5. In the notice that displays, select Confirm unlock.
  6. Go to Approvals and choose the same date range and employees you chose to unlock.
  7. Select Unapprove for each employee. (See: How to Unapprove Timesheets)
  8. In the Approvals Report, Time Entries > Timesheets, or anywhere you can edit time, make your desired changes. (See: How To Edit or Delete a Timesheet)
  9. Go to Approvals and re-approve the timesheets. (See: How to Approve Timesheets)
  10. Re-export the timesheets:

Thank you for responding. 

 

I do not have the option to unlock exported time sheets. The only drop down menu I have says "QuickBooks Payroll," and unlock is not an option.

Thanks for reaching back out and clarifying that you don't have the option to unlock exported timesheets

 

The reason why you may not see this option is because the feature is still in Beta. However, we wanted to see if you had it or not before moving forward. In this case, I recommend contacting our Customer Support Team. They have the tools to get this added to your account so admins will have the ability to unlock time on their end. Here's how: 

 

  1. Go to the Help (Question mark) icon in the top right-hand corner. 
  2. Choose Product Help
  3. Tap the Chat now button. 
  4. Give a brief description of the issue.

Unapproved time sheets are locked

Only administrator level users can approve timesheets my vanilla. Administrator level users see all projects and are not limited by the project permissions, so any administrator level user can submit and approve time.

I've unlocked Exported Time, but employees who did not have any time entries are still showing locked and I'm unable to add any entries.

Ensuring your employee's time entries are accurate and accessible is essential for tracking productivity and payroll. Let me guide you through resolving this issue with locked employees.

 

The reason you're unable to add entries for employees, even after unlocking Exported Time, is that their profiles are locked for edits. This happens when our employees have entries for the specified period.

 

Since you've already unlocked timesheets, we can go to the Approvals menu to locate the entries your employees have:

 

  1. In the left panel, click Approvals.
  2. Adjust the Date filter.
  3. Identify the locked employees and locate their entries for that specific date.
  4. Once located, click Unapproved.

After unapproving their entries, you can go to the Time Entries menu and edit or delete them.

However, if everything is correct and in place, I recommend performing a browser troubleshooting to determine why you can't enter new timesheets.

 

To start the process, open your QuickBooks account using the Incognito window. You can use this shortcut key to save you time:

 

  • Mozilla Firefox: CTRL + Shift + P
  • Microsoft Edge: CTRL + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N

 

If you can enter entries using a private window, clear your cache so the system can start fresh. If you still can't, use another supported browser.

 

Once everything is sorted, you may want to explore automated time entry reminders in QuickBooks Time. This can help employees keep their hours updated and avoid locked profiles in the future.
