A/R - Entering the History of an Estimate & Progress Invoicing into a new 2021 company file for an existing client.

I have created a new 2021 company file for an existing client in 2019 Accountant Desktop.

They use Estimates and Progress Invoicing.

I need to enter the History of each open job (i.e. estimate and all progress invoicing up to 12/31/20) into the new 2021 company file without effecting the current Open A/R and without effecting the Bank Account Register/Balance. The Estimate versus Actual report in the new 2021 needs to reflect the correct outstanding balance remaining to progress invoice against, as well as being able to see the history of all the transactions against the job.

Any ideas or work arounds would be appreciated.

Hi there, @sharronkrayner.

 

Allow me to share some details about the estimates and recording the Account Receivable history.

 

You can manually enter the estimates since it is a non-posting transaction. Therefore, it will not affect any account in the Chart of Accounts. Or you can import estimates and the progress invoices.
 

Then, you can manually link the estimates to invoices to track those transactions against the jobs.

 

Please note that invoices are posting transactions and it will really reflect on the A/R balance. You may also use Journal Entry transaction, however the estimates and invoices will not be linked. Throughout this process I'd recommend contacting your accountant to ensure that your books are accurate.
