Accounts Payable Detail report with customer field

I need to get a report that will show me the AP Aging by customer field.  

 

We receive draws from our customers and then pay bills on behalf of them and need 

I am trying to develop and excel model for a cash flow and I can get the AR side side by customer and need to get the AP side.  How can i get an AP report with customer data which is how we track it?

Under Account and Settings, Expenses, Bills and expenses, turn-on "Track expenses and items by customer". Then drill down into the customers expenses, mark them as billable and add the customer name. Once you have done this for all expenses, you can run a report of "Unbilled Charges" by Customer. :)

Thanks for your quick response.  These are not traditional expenses. We are a project management company and sometimes we do the full cycle accounting.  We create an invoice for our services and all invoices we have approved and received.  We also then enter all the invoices to be paid into AP  as bills tagged with customer.  All I want is a report of all bills with the customer listed in the report.  I then can build a fancy dancy excel model to sum them all.  AR is easy how can I get AP list: Amount ,vendor,due date, customer tag.

 

Please help me I need some accounting QB love.

As long as you have added the customer you can go to the "Open Invoices" Report, select the gear icon and then include the "Customer" column. This will give you a report with Vendor Name, Invoice Date, Number, Terms, Due Date, Open Balance and Customer Name. It also subtotals by customer. Hope this helps.

Relative this thread, I do not see the customer field available for any of the AP reports - AP aging detail, Bill payments list, Unpaid Bills or Vendor Balance Summary.

I can share some insights about the AP reports (AP aging detail, Bill payments list, Unpaid Bills and Vendor Balance Summary) in QuickBooks Online.

 

The reports you've mentioned are for the vendor's account and therefore don't have the customer fields.

 

You can pull up a different report and customize it to show the customers. However, this is only possible if you tagged the expense transaction as billable. Let's run and customize the Purchases by Vendor Detail report.

  1. Click Reports.
  2. On the search field, enter Purchases by Vendor Detail.
  3. Click the Report's setting option.
  4. Put a check mark on the Customer box.
  5. Update the date period.
  6. Click Run report.

We do not see the "Purchases by Vendor Detail" report being available.  What is available is a "Transaction List by Vendor", however, the field for Customer is not available.

Allow me to chime in and help share additional details about the Purchase by Vendor Detail report.

 

In QuickBooks Online, this is only the available AP aging report that'll show the customer details. If you're using Simple Start or Essentials, you cannot generate this specific report. Please refer to this article for more information: Report comparison between QuickBooks Online subscriptions.

 

If this something that your company needs, you may need to use the QuickBooks Online Plus version.

Lily, it seems that we are on Plus; however the "Purchase by Vendor Detail" report does not appear to be available.

Usage limits:

 

Beginning April 2019, usage limits will go into effect and will depend on your plan. Your current plan is QuickBooks Online Plus. Upgrade to have greater capacity or learn how to manage to these limits.

I'm here to help you further with your concern. Since you're already using the Plus version of QuickBooks Online, let's pull up the report using a private or another browser to check if this is a web portal issue.

 

To access a browser's private browsing feature: 

  • Google Chrome: press Ctrl Shift N  
  • Mozilla Firefox: press Ctrl Shift P
  • Internet Explorer: press Ctrl Shift P
  • Safari: press Command Shift N

Sign in to your QuickBooks account using the private browser and repeat the steps provided by my colleague @HoneyLynn_G. If you can generate the Purchase by Vendor Detail report successfully, then you'll need to go back to your original browser and clear your browser's cache. This will resolve most webpage issues.

 

This should get you on the right track. However, if you still can't see the report, I'd suggest contacting our Online chat support to isolate this issue further. There could be other possible reasons why you're not seeing this specific report. They can also check your vendor transactions in a secure environment.

 

Here's how you can reach them:

 

  1. Sign in to your QuickBooks Online company.
  2. Select Help (question mark icon) at the top right.
  3. Select Contact us to connect with a live support agent.
  4. Type in your question and click Continue.
  5. Click the Start Messaging tab.

I am sorry but we should be able to pull in the customer field.  We have 10,000 sub-customers (jobs) setup in the system and we use vendors to complete the work.  I want to know which customers he was paid on etc...  This data is in a database locking down reporting for stupid people does not help us tech savvy people.  Their is no excuse for not being able to choose fields in reporting that you have in your invoice.  I can code an invoice to a customer we should be able to pull that data.  This should be a basic service and easy to implement as the data is already in the database.

As suggested by my colleague, you can pull up the Purchases by Vendor Detail report to show the customer field column. And I'd be glad to help you with this.

 

By customizing the report you can be able to see the customer field column from there. Here's how:

 

  1. From the left menu, click Reports.
  2. Search for Purchases by Vendor Detail.    
  3. Click the Gear icon on the report.
  4. Put a check mark on the Customer box.
  5. Click Run report.

Our issue is that although we are running Online Plus, we cannot see the canned report "Purchases by Vendor Detail".  Therefore, we cannot customize it.

Since you’ve already followed the steps provided by my colleagues above, I’d recommend contacting our support team for further assistance. Just open QuickBooks, click Help at the upper right corner, and select Contact us.  

 

For now, you might want to export the AP report to Excel and add the customer tab from there (Click the export icon on the report and select (Export to Excel).

 

I'll also make sure to send request to our engineers about your preferred AP report in QuickBooks Online.

I am having a same problem.   
I dont see a customer field in the A/P aging report.  We are a construction company and apply all the bills to the related customers.

I'll help you view the bills that are associated with your customers in QuickBooks Online (QBO), @PB18.

 

The Account Payable Aging Detail report will only show the total amount of your unpaid bills, grouped by days past due. This will only track who your creditors are, how much you owe, and how long you've owed debts. Thus, this the reason why the customer field doesn't show in the report.

 

However, we can use the Purchases by Vendor Detail report to view the bills that are billable to your customers. Let me show you how:

 

  1. Go to Reports and search for Purchases by Vendor Detail report.
  2. Click Customize, then select Change columns.
  3. Check the Customer box.
  4. Go to the Filter section and mark the box for the Transaction Type.
  5. In its drop-down list, select Bill.
  6. Click Run report.

 

In addition, you'll want to check out this article on how you can customize your other reports in QBO. You'll also have the option to memorize them to save their customized settings.

Sorry dont think this is what we need.

 

When I create a bill from a vendor I tag that bill with a customer so that when I run P&L by customer I have all income and expense for that customer based on whatever time frame I choose.  THIS WORKS WELL THANK YOU QUICKBOOKS!

 

Now when I want to run my AP aging for everything I need to pay why can I not choose to show the customer label which I have already chosen and I know works from a P&L report?????

EPIC FAIL QUICKBOOKS THIS DOES NOT WORK!  All we need this to add this to the AP Aging detail and I promise you this has got to be such an easy fix.  It's just an association with something that is already in your database.  

 

2 years still no fix give me some love QuickBooks promise to love you back!

I also need the report that is part of this thread (Open A/P) with customer:job.  I like @NickMan1313 know that the data is already there you just need to make it be available for the Open A/P report.

Let me share additional information, @AngelaMcDaniel

 

You can generate and customize the Transaction Detail by Account. This way, you can view a complete list of your open Accounts Payable transactions billed to your customers. I can guide you on how to do it.

  1. Go to the Reports menu.
  2. Scroll down to the For my Accountant section.
  3. Choose the Transaction Detail by Account report.
  4. Click the Customize button.
  5. Set the Report period.
  6. From the Rows/Columns section, click the Change Columns link.
  7. Make sure to mark the following tickbox: 
  8. In the Filter section, mark only the expense type of Transactions.
  9. Select the name of the specific Customers from the drop-down arrow.
  10. Click the Run Report menu.   

Also, you can modify the name of the report to suit your business needs. Just double-click on the name of the report.   

 

Once completed, you can save the customization you've created for future use. You can read through this article to get the most out of your financial reports: Customize reports in QuickBooks Online.

I am trying to run an A/P Aging Detail Report.

I would like to see my vendor types displayed on the report. Is this possible?

I can help you with generating the report that you need, Tricia.

 

Currently, when you run the Accounts Payable (A/P) Aging Detail report, you can only include the vendor names. The ability to include the vendor types is unavailable.

 

The ability to add vendor types in QuickBooks Online (QBO) would be a great addition to the current features that we have to include it in our reports, so I'll take note of it. For now, I suggest checking out our QuickBooks Blog for updates on the program.

Same request. Add the Customer field to the AP Aging Report. When a customer payment arrives, AP needs to know which vendors to pay from that customer payment. Preferably the AP would show by customer then job number

At this time, there isn’t a specific time frame as to when this feature is available. QuickBooks aims to find new ways to make sure that your product meets your needs.

 

While we haven’t added this option yet, we are working on big improvements that will be helpful for the majority of our customers. I'd suggest visiting the QuickBooks Blog website to stay up-to-date on any enhancements in the online version.
