Adding invoices to Projects

I've switched on Projects and opened up my first project and now I'm trying to add a sales invoice and vendor invoices to a project that I've created, but the project doesn't appear in the drop-down client list?

Adding invoices to Projects

Hello and welcome to the Community, @AndrewA.

I've got just the steps you'll need to troubleshoot that missing Project on the drop-down client list. Recently-created items are known to hide from these lists if your internet browser is using an outdated cache file to load the list. You can clear these temporary files and force QuickBooks Online to download a fresh version.

Since the instructions for accomplishing this vary based on the browser you're using, I'm including some resources that detail the steps for all supported browsers:

Once you've cleared the cache, try searching the client list again. Keep in mind that Projects are listed as subsets of their parent customers. For example, if you were to create two Projects for customer John Doe called Project A and Project B, they would be ordered in the drop-down list as:

Jim Doe

John Doe

  • Project A  -  Project of John Doe
  • Project B  -  Project of John Doe

Justin Doe

With this information, the Project will pop up on the client list in no time. Please don't hesitate to get in touch with me here's if there's anything else I can do to help you succeed. Thanks for coming to the Community, wishing you a wonderful rest of your day.

Adding invoices to Projects

Hi When I create an invoice it automatically should show up as income in my projects, but does not. I have the project name in correctly but still does not show up.

It's nice to see you here, Max.

Have you tried processing the entries in a private browser? Unexpected issues in QuickBooks are sometimes affected by the amount of data stored in the cache. This is because a regular browser will constantly overwrite the data and will not remove history unless done manually.

Private browsing will not save any history, so it's a great place to identify issues in the browser. Use these keyboard shortcuts to launch a new private window:

  • Google Chrome: press Ctrl Shift N
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

Once done, try to open the Reports tab and see if you get the same problem. If it works fine, clear the cache to resolve browser issues in QBO. Using a different browser can also help.

However, if the same issue persists, I recommend getting in touch with our Support Team. They can help report this to our engineers who can help with program bugs and other technical concerns.

  1. Go to the Help menu in QuickBooks, then choose the Search tab.
  2. At the bottom click on Contact us.
  3. Enter the keyword Account Management and Billing in the What can we help you with? box.
  4. On the next screen, scroll down to How would you like to connect with us section.
  5. Choose Chat with us to initiate a discussion with a live agent.
  6. Enter you account contact information then press Get a chat.
  7. When using this option, make sure to enable pop-up windows. The chat box will appear at the bottom right section of your monitor, and an agent will be with you shortly after. See this:
