Assigning Classes to rows

I want to update my settings to stop assigning one class per transaction and begin assigning one class per row in each transaction.  I am worried about the classes chosen for all of my previous data, however.  If I make the change in settings to have classes assigned to each row, will the class I have previously assigned to a whole transaction automatically transfer to each line item/row of old transactions? Or would I have to manually update each line item/row for each previous transaction with the appropriate class?

Assigning Classes to rows

Let me give you an overview of what will happen regarding this matter, datadan.

When you change the assigning of classes from One to entire transaction to One to each row in transaction, here are the things that will happen to your existing transactions:

  • The assigned class to the transaction will be hidden.
  • The assigned class (for the entire transaction) will not automatically assign the associated rows or line items.
  • The Class field (for the entire transaction) will disappear. Hence, the assigned class will be hidden.
  • You'll need to go back to the existing transactions and assign the classes one at a time manually.

The things I've mentioned above should address your concerns regarding the setup. After considering those factors, you can already change the class settings:

  1. Click the Gear icon in the upper-right corner and select Account and Settings.
  2. Select the Advanced tab and go to the Categories section.
  3. Change the Assign classes to One to each row in transaction.
  4. Click Save and Done.
  5. Then, you can update the existing transactions.

You can also use these links to know more about the feature:

We'll be right here if you have additional clarifications about the class feature. Have a great day!

Thank you for the instruction.  Would this change of Class assignment also affect previous years' data even though the books have been closed all the way through year-end 2019?

Assigning Classes to rows

Glad to have you back here in the Community, @datadan.

Allow me to provide some clarifications regarding the transactions that will be affected when making a class assignment changes in QuickBooks Online.

Your previous year's transactions won't be affected by the modifications that you're going to create. The amendments will only reflect to this year's existing entries and to the succeeding ones.

However, if you want to make corrections from the closed books' transactions, you can still edit them.

Lastly, I'd like to add these links below to give you more details about tracking your transactions by class correctly and on how to pull up a report for them:

I'll be right here to provide further assistance if there's anything else that you need. Have a lovely day!
