Billable expenses are not showing in the Invoice

Thanks for taking the time to post your concern in the Community, HR3.

Let's perform some troubleshooting steps to solve the issue of why your billable expense won't show on your invoice list in our QuickBooks Online (QBO).

First, kindly review your expense entries and ensure a checkmark is placed in the box under Billable and assigned to a Customer/Project. I'll be leaving a screenshot for you to refer to.

After assuring that everything's in place at your expense entries, let's utilize another browser to exclude the possibility of browser-related issues. Start by logging out of your QBO account and try using an incognito browser or private browser. You can use these keyboard shortcuts below:

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N

From there, create an invoice with the same customer on your expense entries and check if your billable expense entries are already on the list. If it works, return to your regular browser and clear its cache. This process helps remove cookies and resolve issues with web pages not loading due to the presence of outdated or corrupted files.

After sending an invoice, you'll receive payments from your customer. You can refer to this article for step-by-step guidelines on documenting them: Record invoice payments in QuickBooks Online.
