budget vs actual report

How do I show a report of Budget vs Actual for YTD without showing the monthly totals?

 

Obviously new to the online version and technically challenged......

I'll be your guide today to generate the data you need, Nevets-54.

You can customize the Budget vs. Actuals report to show the YTD total.

Here's how:

  1. From the report, click the Customize button in the upper right-hand corner.
  2. Maximize the Rows/Columns section.
  3. Under Show Grid, select Accounts vs. Totals from the drop-down menu.
  4. Filter the Report period.
  5. Click Run report.

You will now see the year to date totals of each account after following the steps above.

I do not see a rows and column option when I customize option. The only tabs I see are display/filters/headers and footer/Fonts and Numbers. Where can I see the rows and column?

I am using desktop Quickbooks 2020

Hi @NicoleTCE19,

 

Thank you for confirming the type of product you're using. It allows me to provide you with the appropriate steps.

 

For QuickBooks Desktop 2020, the option to edit the rows and columns of a Budget vs. Actual report can be found under the Display tab.

 

 

You can change the Display columns by drop-down menu to Total only. This will show a single column for the Actual amount of the period selected. You also have the option to uncheck sub-columns.

budget vs actual report

I did what you suggested and changed it to total but it does not actually give me the total. For instance in one account I put $15000 in the budget for Oct, we did not actually pay anything towards that account until Dec  in the amount of $13602.14. I am looking for a report that would show the account with a total of +$1397.86 towards that budget account. This report is only reflecting the $13602.14 and showing the budget % at 100. 

 

Does that make sense? I am not sure if I am explaining this right.

If I got the concern correctly, the $13602.14 is the actual income and expense and the $1397.8 is the difference between your budget and the actual income and expense.

 

When you run the Budget vs. Actual report, this will show you how well you are meeting your budget for income and expenses.

 

Make sure to add sub columns for Show Actuals, $ Difference and % of Budget when customizing the report. That’ll show you the actual income and expenses and the budgeted amounts.

Yes, you understand my concern. I want to see budget $15000- $13602.14 actual paid and a balance of a positive $1397.80.

 

I am doing everything you tell me. I see where to put total only in display, the subaccounts for Show Actuals and $ Difference and % of Budget but I am only getting the report to reflect the actual amount. 

 

The amount was put in the Budget in Oct 19, we bought the machine in Dec 19. I am running a Balance Sheet Budget vs Actual, on Desktop 2020, with all the suggestions but only see the amount we actually paid in December. The Budget amount made in Oct does not come up on the report at all. I have the dates correct, so it is not a date issue. Please tell me what I am doing wrong.

Let me provide some information about this issue.

 

Since the budget in QuickBooks Online only applies for a Monthly Budget. In the meantime, we can't make the actual paid last December to reflect in Both October and December.

We can perform a troubleshooting step to reflect the budget amount in October, NicoleTCE19.

 

In QuickBooks desktop 2020, you can set the Report Basis to Cash and customize the period to October only. This way, we filter the report to show the budget amounts for that specific period.

 

Here's how:

 

  1. In the Profit & Loss Budget v. Actual report, click the Customize Report button.
  2. Choose Display.
  3. Select Custom in the Dates drop-down. Then, enter the October date in the From and To section.
  4. Place a checkmark for Cash in the Report Basis section.
  5. Hit OK.
