Can anyone tell me how to record a payment received from a customer? Specifically, I have sent an estimate and the customer sent me a check for the deposit.

I don't use any of Quickbooks payment options and do not plan to either.  I take payment in person or by mail/Venmo.

Nice to have you today, @peakhomehandyman. I've got options for recording your customer payments in QuickBooks Online (QBO). 

 

If you have already rendered the service or provided the product to the customer, you can convert the estimate to an invoice and then record the payment received. 

 

Here's how you can do it:

 

  1. Go to Sales then select All sales.
  2. Find the estimate you want to convert. 
  3. In the Action column, select Convert to invoice.
  4. Make any updates to the invoice, if needed. 
  5. Then select Save.

 

After converting the invoice to an estimate, you can record the payment received. 

 

Here's how:

 

  1. Click the + New Plus icon. 
  2. Select Receive payment.
  3. From the Customer dropdown, choose the name of the customer.
  4. From the Payment method dropdown, select the payment method (credit card, debit, PayPal, Venmo, or ACH bank transfer).
  5. From the Deposit to dropdown, select the account you put the payment into.
  6. In the Amount received field, enter the amount your customer paid.
  7. In the Outstanding Transactions section, select the checkbox for the invoice you're recording the payment for.
  8. Enter the Reference no. and Memo if needed.
  9. Press Save and close.

 

On the other hand, if you haven't yet rendered the service or provided the product to the customer, you can enter the payment as a retainer
