Can I create a report showing all transactions with no attachments from a specific set of categories?

Transactions from certain categories always need to have an invoice or receipt for tax purposes. I'd like to generate a report that shows me all transactions for most categories with no attachment (meaning there is no invoice or receipt). This report should show transactions across all of my accounts.

 

I will then find the receipt or invoice and attach it each transaction.

Can you tell me the attachment you're referring to? Is this the attachment you provide when creating a transaction or the transaction itself?

 

To run a report showing all transactions from all of your accounts, I suggest pulling up the Transaction Detail by Account. This way, you can customize this to see some information and view the specific data you want. Please know that when viewing the report, you can see the transaction type and the specific category as well as what category it is associated with the transaction.

 

Here's how to run the report:

 

  1. Click Reports at the left panel.
  2. Select Transaction Detail by Account in the search icon. Use the basic filters at the top of the report to adjust things like the report dates.
  3. Click the Customize button.
  4. In the Rows/Columns section, select which rows and columns appear on the report. Make sure to checkmark the Split box.
  5. From Filter drop-down arrow, choose which accounts appear on your report. All of your accounts are shown by default.
  6. You can decide what appears in the header and footer.
  7. Hit the Run Report button.

 

This is what the report looks like.

 

 

Once done, please note the specific category is located in the Split column. From there, you can click it to see what category is associated with the transaction. 

 

You can also memorize your report to save the customization.

I mean attachments as described in the "for transactions" section here: Add or delete attachments in QuickBooks Online (intuit.com). Is it possible to do what I described with those types of attachments?

The report your looking for isn't possible. However, you can add the attachments column to view sales or expenses transactions with or without attachment. I'll show you how.

 

  1. Go to the Sales or Expenses menu.
  2. Select All Sales or Expenses tab.
  3. Filter it to the specific date.
  4. Click the Gear icon, then tick the Attachments box.
  5. It will indicate 0 or blank if there's no attachment on that specific transaction.

While modifying the report to show all entries without attachments included in it is unavailable, you can add an Attachment column to your All Sales transaction page to identify which entry has no specific file attached.

 

You can refer to these steps:

 

  1. In your QuickBooks Online account, go to the Sales or Expenses menu.
  2. Filter it to a specific date.
  3. Click on the Gear icon and select the Attachment checkbox.
  4. Once done, this will indicate a 0 or blank there's no specific attachment.
