Can I enter in paid bill back to January 2020? We are setting this up new

Welcome to the Community, akercher65.

Yes, you can enter the transaction. We’ll have to create the bill first and pay it to record the payment. Then, make sure to set the date to January 2020.

To enter the bill:

  1. Go to Vendors at the top menu bar to select Enter Bills.
  2. When the Bill page opens, type in the payee’s name in the Vendor field box.
  3. Type the appropriate date in the Date field box.
  4. Choose the appropriate tab: Expenses or Items.
  5. Key in the amount for the transaction and fill in the remaining field boxes.
  6. Click Save & Close.

Check out the Enter bills guide for more insights when to use the Expenses or Items tab.

To record the bill payment:

  1. Tap the Vendors menu at the top to choose the Pay Bills option.
  2. This will open the Pay Bills option.
  3. From the list, mark the box for the bill and then hit the Pay Selected Bills button.
  4. This action will display the Payment Summary.
  5. Go to the Payment section and then enter January in the Date field.
  6. Click Done.

Here's how the bill payment looks like after following these steps.

For more additional information about the process, check out this article. It also provides instructions on how to apply a discount or credit for each payment you make: Pay bills in QuickBooks Desktop.

Additionally, the Accounts Payable workflows in QuickBooks Desktop article provides an overview of how to record A/P transactions.. It also contains links for each process and then click on it to view the complete information.
