Can I give users access to financial reports without allowing them to drill into the detail?

We have two accountants that we'd like to be able to see the P&L and balance sheet, but don't want them to be able to see the detail in certain accounts. Is there a way to do this?

Hello there, jklepfer10,

 

We're unable to provide access to your accountants with these reports only. You can email them the reports instead.

 

Here's how:

  1. Click Reports on the menu.
  2. Scroll through Company & Financial, and select Profit & Loss or Balance Sheet.
  3. Click on Email.

You can send the report as Excel or PDF. You can also customize this report and select the dates. 

 

You can check this article about creating and managing roles in QuickBooks Desktop Enterprise. This will help you hide account balances and resolved unexpected results in added users.

It's a good option, but in preparation of the monthly close we'd like to be able to give them more responsibility. This would mean they'd need access to real time updates to both P&L and Balance Sheet.

 

Follow up question: If we create a memorized transaction of an accounts detail, is there a way to prevent them from customizing the report to gain access to information in other  accounts?

The option to limit your accountant's access to specific details in your memorized reports is unavailable in QuickBooks Online (QBO). 
 

Once your accountant is added to your QBO account, they'll have the access to all features available in the version of the product you're using. 
 

However, you can still reach out to your accountant and ask them about the scope of the limitations you wanted to impose on them.

 

Also, accountant users have additional privileges that allow them to undo entire reconciliations, reclassify transactions, and write off invoices. To know more about it, you can check out this article: About QuickBooks Online Accountant features.

No, there isn't a way in QB to allow a user to run a report but at the same time disallow either zooming in on available details or to stop them from customizing the report.

 

This is an unusual request: Why do you not want your accountant to have access to your detailed books?  Seems rather like having a payroll manager that can't access the payroll...

To clarify, it's not our CPA. We have two internal accountants that we don't want looking at payroll information. In order to give them expanded responsibilities we're trying to involve them in the month end closing process.

I see.  However, if you give access to financial reports then that person can see payroll data in the reports.  There's no way around it.

Fortunately we have enough employees that the total numbers wouldn't be meaningful to them, which is why I was hoping maybe there was a way to stop them from diving into the details. Based on this conversation it seems as if it's not possible.
