Can I upload saved W-9's into my Contractor's information?

Yes, you can upload W-9s into your contractor's profile if you enter their information manually in QuickBooks Online (QBO), billing. We'll guide you on how to complete this process below.

We have two methods for entering contractors' data in QBO. You either enter manually or you let them fill it out themselves.

If you enter the contractor's W-9 information manually, here's how you can upload the form into their account:

  1. Go to Expenses or Payroll, then select the Contractors tab.
  2. Choose the contractor’s name.
  3. Select the Documents tab to upload a copy of the W-9.

If you've invited them to add their own tax details in QBO, you'll have to ask them to sign in to their QuickBooks Self-Employed (QBSE) account and upload their W-9 on your behalf.

Also, would you like to know how much you're paying each contractor every month? This article will guide you through the process: Run and save a monthly expense report by vendor.

We'll always be available in this forum if you have additional questions about managing contractors' profiles. Please don't hesitate to leave them in the comments below. Keep safe, and have a good one.

Can I upload saved W-9's into my Contractor's information?

I followed the above directions, and once I got to the Documents section, it said waiting for info, but there was no edit section for me to input the W-9. How can I input it?

Good morning, @kimaut

Thanks for chiming in on this thread.

The reason you're not seeing the option to upload it yourself for your contractor is because you've already invited them to add their own information. They'll need to upload the documents for you themselves.

Feel free to come back if you have any other questions. Bye for now!

Mine says this as well but I didn't send any invites. I've trying to upload W9 forms that were sent to me months ago.

Chiming into this discussion to help you upload your contractor's W9 forms, LaureB. I'll provide clear, step-by-step guidance to ensure a smooth document submission process. Together, we'll complete this task accurately and efficiently.

The Waiting for info message appears when you've previously emailed your contractors to complete their details. With this, I recommend checking your email to determine if you still have the old link for updating personal details. For your visual reference, here’s a screenshot showing where to find this option on a contractor's profile.

If the same thing happens again, you can re-enter your personal details. To do this, navigate to the Details tab and select the Waiting for info link.

Alternatively, if you manually enter all the W-9 information for your contractor, the system will no longer request additional documents. Since the Waiting for info link is appearing, you may be experiencing a browser cache issue. Your browser saves files to speed up website loading times, but over time, this cache can become outdated and lead to performance issues in QuickBooks Online (QBO). To fix this, you can perform some troubleshooting steps. Refer to this article for more info: Troubleshooting browser problems.

However, if the issue persists, I recommend contacting our Live Payroll Support Team for further assistance. With their specialized expertise, they'll thoroughly investigate and resolve your concerns, ensuring a quick and accurate solution.

Finally, as tax season approaches, proactively managing your contractor documentation and 1099 forms can help prevent potential IRS penalties and ensure smooth financial reporting. With this, I'll share some articles to help you navigate this process effectively:
