It's nice to see you here, @ahaines-oysterll,

You can send invoices in QuickBooks but they aren't encrypted files. If your preference is sending coded files to clients, you will need to do it outside the program or use a third-party app to encrypt them.

We have a lot of third-party apps in our website that you can check. Click this  link to find encryption tools to help you send the protected files to customers: https://quickbooks.intuit.com/app/apps/home/

We also have a separate forum called Intuit Developers, where you can find engineers who can help recommend third-party hosting applications to use. Click this link to our website: Intuit Developers Community.

If you have any more concerns about syncing applications with QuickBooks, feel free to post here again. I'll be right here to help you. Have a nice day!

Any update to this response?  Is it possible to password-protect invoices directly from QBs?

Can invoices be sent to clients encrypted? If so, how is this being done?

1. Why encrypt e-invoices?
E-invoice encryption is a fundamental part of protecting financial data in transit and at rest. Sensitive invoice details like pricing, client information, and banking data can be intercepted or misused if not secured. Encryption ensures that only the intended recipient can access the contents, reducing the risk of fraud, tampering, or data breaches.

2. How to encrypt e-invoices?
The process typically involves using PDF encryption standards (like AES-256) to secure invoice files with a password or certificate. The challenge is streamlining this in day-to-day business without introducing complexity. That’s where tools like Secure Invoice Guard come in — it automates PDF encryption using client-specific passwords and integrates with email systems to ensure invoices are sent securely and effortlessly.

3. What are the benefits of encryption?

  • Data confidentiality and integrity

  • Compliance with GDPR and local e-invoicing standards

  • Increased trust with clients

  • Reduced exposure to invoice fraud

4. What are the challenges of encryption?
Manual encryption is time-consuming and error-prone. It’s also difficult to manage individual passwords across multiple clients. Without a centralized tool, even small businesses may struggle with consistency and compliance. That’s why we built Secure Invoice Guard, which automates encryption, handles customer password mapping, and integrates directly with Outlook to streamline secure delivery.

5. How to choose the best encryption method and tool for your e-invoices?
The best method depends on your scale and workflow. For most businesses, AES-256 encrypted PDFs offer strong protection without requiring complex infrastructure. Look for tools that:

  • Automate encryption

  • Support client-specific access credentials

  • Work with your existing invoicing/email system

  • Are easy to maintain and don't rely on third-party clouds

And finally...
In my country, there's a saying: “If you don’t praise your own house, it will fall on your head.”
So allow me to proudly say: I’m the creator of Secure Invoice Guard, a practical solution developed specifically for small businesses and freelancers who want hassle-free, secure invoice delivery. Built with simplicity and privacy in mind, it keeps everything local and gives users full control over their invoice security.

6. Here’s what else to consider
Security shouldn't come at the cost of usability. Choose tools that empower non-technical users, provide error logging, and respect data privacy by working locally. With Secure Invoice Guard, invoices are sent and each customer receives an encrypted PDF only they can open.
