Can other users get access to the Product/Service QuickReport?

Attached is the screenshot of how an admin has access to the Product/Service QuickReport. How can another user who does not have access to the Vendors side of QuickBooks look at this type of report?

 

Can a Reports-only user access this report? If so, how? This type of user does not have access to the Sales tab and then the Products/Services section.

I'll share some information about the user roles.

 

Here are the following users that can add or edit products, and services:

 

  • Limited (customers and sales)
  • Limited (vendors and purchases)
  • Limited (customers and vendors)
  • Limited (customer only)
  • Limited (vendors only)

You can read this article to see what the user can or can't access: User roles and access rights in QuickBooks Online.

 

With regard to the reports-only user, they can see all reports, except reports that show payroll or contact info. These users can’t access the audit log.

 

If you want to change the user permission, you can follow these steps:

 

  1. Sign in to QuickBooks with a user profile that has permission to manage users.
  2. Go to the Gear Manage users.
  3. Find the user you want to edit. Then select Edit in the Action column.
  4. In the User type drop-down menu, choose the new user type.
  5. Select the user settings, if applicable.
  6. Hit Save.
  7. Ask the user to sign out and sign in again into QuickBooks Online to see the updates.

The article you linked claims "With regard to the reports-only user, they can see all reports, except reports that show payroll or contact info."

I believe this claim is incorrect. The Product/Service QuickReport is a report that does not show payroll or contact info. It is not a report that can be seen by a reports-only user because the user does not have access to the Sales tab in order to click on the Products/Services section and then on an item to click "Run Report." The user cannot view such a report even if an admin shares the report with them.

 

Please let me know if I'm mistaken. I want a user who does not have access to the Vendors tab to have access to the Product/Service QuickReport. Unfortunately, it appears that the only users who can see the report are admins, which is very strange.

When you add a user in QuickBooks online, you can handle their roles and limit their access to specific jobs. You can also choose what users can see and do within different areas of QuickBooks like customers and sales or vendors and purchases. 

 

Yes, you're right. The users who are set as Reports only are unable to see the Product/Service QuickReport from the Products/Services section. Since the admin already shares the report with Reports only users, they should access any product and services report.

 

 

 

 

 

That being said, I reccomend advising your added user to refresh their QuickBooks account by logging out and logging in. You can also suggest to them to logging in to the QuickBooks account using a private browser. This is to rule out the possibility of a webpage issue, and private browsing doesn't store local files or cache.

 

Use these keyboard shortcuts based on the browser you're using.

 

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

 

If it works in incognito, they'll need to clear the cache of the regular browser. This removes the history or log of sites to start with a clean slate. You can check this article to see the steps: Clear cache and cookies to fix issues when using QuickBooks Online.

 

If the steps above didn't work, use another supported browser as alternatives.

 

Another option is to export the Product/Service QuickReport to Excel and share this with your users so they can see the updated item details.
