Hi there, @steved1b,
Thanks for your time checking this with the Community. I can share some insights about invoice balances in QuickBooks Online.
If you're referring to the Balance column in the All Sales and Invoices screen, it's default view only displays the individual balance per transaction. This way you're able to view and do multiple actions (Batch action) on each items created in QuickBooks.
If you'd like to view your customer balances, you can pull up a Customer Balance Detail report. Follow the steps below:
However, if you're referring to the sales/invoice transactions to show the customer balance, you can do that by customizing your sales templates. Here's how:
That should display the Balance forward amount or the running customer balance on your sales transactions.
You might want to check this article to know more about customizing sales templates in QBO: How to customize invoices, estimates, and sales receipts
Please notify me immediately if you need further assistance. I'm always here to help. Have a good one!
THis method does not work for quickbooks online. What a basic freaking function....to be able to show the customer their full balance rather than only their charges during the current billing period.
ANyone else got any ideas...before I unsubscribe to this crappy online system? 2011 desktop worked better
Thanks for following this thread, vsmlw.
I can see how beneficial for your business to be able to show the customers’ full balance. I’ll take note of this feedback. Then, pass along on your behalf for consideration in future updates.
You can consider using a third-party app to display your customers’ full balance. We treat all businesses fairly and know that each one has different needs.
The App Center has all kinds of third-party applications to choose from. From there, you’ll see a better comparison of each one and see if it meets your needs.
For future reference, let me share the Add an account summary to an invoice in QuickBooks Online guide. It provides instructions on how to remove account summaries and steps to send balance forward statements.
Reach out to me if you still need help with QuickBooks. I’ll be around to assist further. Have a good one.
