Can you archive expenses and invoices in QB online?

(ex)  I have 10 months of electric bills, can I set it that it only shows my last bill on the main screen?

It would be my pleasure to answer any questions you may have about your expenses and invoices.


Archiving expense and invoice transactions is currently not available in QuickBooks Online. Right now, you only have the option to view, edit or delete them on the system.


When you say the main screen, are you referring to the Dashboard? If yes, expenses and invoices on that screen can't be archived.

Can you archive expenses and invoices in QB online?

Thank you for your response.  I am not referencing the dashboard, I am talking about the expense screen or the invoice screen.  When I am in the expense tab, I will see the expense for every month for a given bill.  Same on the invoice screen.

My question is if I can archive past expenses or invoices.  (ex) Electric bill is $100 a month.  In December, I will see the last 11 months also.  Can I archive past months and only show the most recent ?

Thanks for getting back to us and for providing additional details about your concern. Allow me to jump in for a moment and share some information about archiving expenses and invoices in QuickBooks Online (QBO).


Archiving past transactions on both Expenses and Invoices tabs is a great idea! I can see how this feature would be helpful for you and your business. While it isn't available yet as @AlcaeusF mentioned, I'm going to send feedback regarding this directly to our Product Development Team for consideration in future updates.


I also encourage you to submit feedback as well. QBO is constantly changing and evolving based largely on the suggestions and requests of users, like yourself. This will also help our Product Developers know how this option makes your QBO experience smoother.


This can be done directly through your account by clicking the Gear icon in the top right corner, then select Feedback or by going to the following link: QuickBooks Online Feature Requests.
