Can you attach and Expense with receipt to an item in Journal Entry?

Hello there, @ginger-steinmetz.

 

At this time, the option to attach an expense with receipt to an item in Journal Entry is unavailable in QuickBooks Online (QBO). It will cause a duplicate once they are both posted as debit in expense.

I have uploaded lots of images of receipts using the QB app.  These appear in QB Online OK.  However, I cannot see how I can attach two images to one expense payment?  An item can be Reviewed and an expense created just fine but what when there are two or more pages of images.  I cannot see how to then attach the next page image to the expense that has just been created.

 

Why can't I just attach the receipt image to any invoice that I nominate?

I also want to attach a receipt or image to a journal but can't see how that can be done either.

I've got the steps on how we can attach more than 1 receipt, DavidJM.

 

Let me guide you with these steps:

 

  1. From the Transactions tab, select Receipts.
  2. Click Upload from computer.
  3. On your keyboard, click Ctrl while selecting the receipts.
  4. Click Open.

 

As for adding it to a journal entry, this function is unavailable in QuickBooks.

As far as I can tell, your reply explains how to select two items from my PC and attach them to an expense.

That wasn't my question.  I have uploaded images from the QB app using the "snap receipt" function.  This uploads the images of receipts to QBOnline.  So I then go to Transactions/Receipts in QBO and I want to attach a receipt (from those uplaoded onto QBO) to an existing expense that has already been created.  Please explain how I can attach the receipt.

 

How can I select two receipt images from the ones in the Transactions/Receipts in QBO and attach them both to a single expense?

 

Why can't I just go to any expense - click attach and have that take me to the receipts in QBO and let me select an image to attach?

Why can't I go to a journal entry and click attach and have that simply take me to the QBO receipts and let me choose an image to attach?

Thanks for following up with us. I'd be happy to share some additional insight into adding multiple receipt images to an expense. 

 

In QuickBooks Online, you can't add multiple images to a receipt or bill. However, you can add them as attachments as a workaround to get more than one. Let me walk you through the steps below. 

 

 

For transactions:

  1. Open the desired transaction.
  2. From the bottom left, select Attachments.
  3. Browse and click on the document you want to attach.
  4. Hit Open, then Save and close.

Brilliant - so you have a really excellent looking QB app which allows me to snap an image of a receipt and upload it automatically to QBO.  But if the expense already exists or there are two pages, then I need to copy that image from the Receipts list in QBO and store it on my PC, then go to the relevant expense in QBO and attach the image from my PC back into QBO.

 

How ridiculous can it get that to attach a QBO image to a QBO expense, I need to copy it onto my PC and copy it back in a different place in QBO.

 

The really simple solution is under the "Attach" function for any expense or indeed journal, that you allow the user to select an image from the list of Receipt images already in QBO - how difficult can it be
