Can you set up a default customer message for invoices?

Hi

I'm trying to change the default message in my invoice email body. It comes preloaded with the typical "Hi Mr. Smith Thank you for your business, have a great day" canned message. I would like to change this to a different default message. I'm looking for the "Custom Form Styles" option you mention, but I do not have that option available to me. Please advise.

Thanks!

Thanks for bringing this up here in the Community space, Cstpeter7.

I want to ensure you’re able to customize invoice style seamlessly.

First, let me share a visual reference on where you can find the Custom Form Styles option in QuickBooks Online (QBO).

Here's how:

  1. Click the Gear icon.
  2. Under Your Company, click Custom Form Styles.
    QBO customtemplate.PNG
  3. To create a new template, click the New Style button in the upper right-hand corner.
  4. Select Invoice.
    QBO customtemplate.PNG2.PNG
  5. Go to the Design tab to edit the template name, logo, color, font, and margins. Then, go to the Content tab to customize the header, body, and footer of the invoice template.
  6. Click Done when finished.
    QBO customtemplate.PNG2.PNG3.PNG

For additional reference, you can read through this guide on how to customize invoices, estimates, and sales receipts.

If you're still not seeing the option, let's try using a private browser or incognito window as an initial step to fixing this issue. This will eliminate any browser history that may cause a glitch inside QuickBooks. You can refer to the following keyboard shortcuts below:

  • Google Chrome: Ctrl + Shift + N
  • Microsoft Edge: Ctrl + Shift + P
  • Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N

If it works, close out the private window and clear the cache on the regular browser. This will remove previously-stored browsing data that might have caused the issue. Otherwise, you can try other supported browsers to help narrow down the cause of this behavior.

Once done you successfully customized your template style, you can apply the template to your invoice. I'd be happy to walk you through how:

  1. Open an invoice.
  2. Click Customize.
  3. Choose a template.
  4. Fill in the necessary information and click Save and close.

I'm leaving you some recommended resources to guide you more in managing your templates as well as your QuickBooks account:

It'll be always my pleasure to help if you have any other questions customizing invoices. Just keep me posted in the comment section down below.

Can you set up a default customer message for invoices?

i kept adding the message in the message to customer position and it would not show up on any of my forms. the best option i could find was to add it to the footer. then it will print with every invoice. hope this helps save someone time. i do NOT want to add this to every invoice i want to print.. that would just be silly.

Custom form style should be displayed under your company, @ruby999.

Ensure you have access to the admin's account to use the custom form style, it's available to all subscriptions. If you're already the admin, I highly suggest doing the basic troubleshooting.

  • For Chrome, press Ctrl + Shift + P.
  • For MS Edge and Mozilla Firefox, press Ctrl + Shift + P.
  • For Safari, press Shift + Command ⌘ + N.

If you see the menu, you'll want to go back to your regular browser and clear its cache. However, If the issue persists, try using a different browser to isolate the problem.
