Can you split a single donation from one person into two different projects? If so how?

We appreciate the details you've provided, office109. 

 

The step above mentioned by Kristine Mae is if you haven't recorded the deposit. Since it has been deposited and reconciled, we can edit the deposit instead. The system will allow us to split the amount to different projects for the same customer.  

 

Here's how:

  1. From the register, select the deposit (example the deposit with the $2000 amount).
  2. Click on Edit.
  3. You'll be routed to the Bank Deposit page then go to the Add funds to this deposit section.
  4. In line 1, select Project A and enter the amount.
  5. In line 2, select Project B and enter the amount. 
  6. Click on Save and close

In case you get a message saying 'you can't make any changes because the books are closed,' we can open it from the company settings:

  1. Click on the Gear icon.
  2. Select Account and Settings.
  3. In the Advanced section, select Accounting.
  4. Uncheck the Close the books box.
  5. Click on Save.

Once done, edit the deposit from the register. Then, don't forget to go back to the company settings to close the books again.

You can track the donation transactions by adding projects and expenses under the donor’s name. I can see that you have a duplicate post about your concern.

Hi and thank you.  This was not a duplicate posted question, it is actually a different issue (the other question was adding funds from different donors to one project).  This question is asking if you can take one donation from one individual donor and split it between projects.  Example:  one $2,000 pay-pal deposit received from donor X, $1,000 restricted for "project A" and $1,000 restricted for "project B".  Is that possible?  I have tried but it looks like all the funds get assigned to both projects ($2000 in project A and $2000 in project B).

Yes, you can separate it into two projects, Office109. I'll guide you with the steps.

 

You can create a deposit, add the projects, then manually divide the amount. Here's how:

  1. Click the New or Plus sign (+) icon.
  2. Select Bank deposit.
  3. Under Add funds to this deposit, add the projects, then enter the amount. 
  4. Select an income account.
  5. Click Save and close

I'll include a screenshot for better guidance.

 

 

When you pull up the Income by Customer Summary report, the funds are assigned to both projects.

Sorry, I am unclear where to start.  Are you creating a new Deposit?  The money is already deposited and reconciled.  I need to go back and split it between the two projects.  I was trying to do this in the register, will that work?  Sorry I am not following.

Hi, thank you for the help.  I have tried that several times and the funds are not showing up in the designated project transactions.  I tried changing the "Received From" to the specific Donor fund but then it puts the entire deposit in both funds (not split).  Not sure what I am doing wrong.

Allow me to chime in and help with splitting your donation.

 

Transaction splitting is possible, but not when the transaction is reconciled. Meaning you have to unreconcile the transaction to edit its location. I recommend contacting your accountant to unreconcile the amount to ensure your books won't be affected. When the amount is unreconciled, you can follow the steps listed above by @Anonymous to add the deposits to the correct projects.

Ok, well I figured it out.  The total Deposit shows in the transaction report but the total in the fund is correct.  Strange it shows up this way on the report, I woudl think only the Project portion would show up on the page.
