Chart of Accounts Detail View

This is probably really easy, but somehow the function has changed from Pro 2013 to 2018 Enterprise.

In the past, I could select an account from "Chart of Accounts" and just drill down on it with quickzoom, and it would automatically go into a "detail view" report from start to end date.

Now all I get is a rolled-up view, and I can't drill down to see all the line entries from a specified time period. This is driving me nuts! I searched for almost an hour, and now have to post here.

All I want to do is see ALL the entries for a particular expense account by date range.

I'll show you how to see all your entries in a particular expense account, SATELLITE1.

To do this, let's click the Reports drop-down menu in your Chart of Accounts. From there, we can select QuickReport that will help us view and filter all the transactions in a specific date range.

Here's the step-by-step process:

  1. Go to the Company menu and then select Chart of Accounts.
  2. Click on the expense account you'd like to open.
  3. Then, select Report.
  4. Choose QuickReport [name of the account].
  5. Select the Dates drop-down menu, then choose Custom.
  6. Enter the specific date you want to see, then click on Refresh.
  7. Once done, you'll see all the data in the report.

For your visual reference, I've attached some screenshots below.

You can also personalize your report more to decide which details you'd like to see.

Additionally, I've included these articles that'll help you learn more about the things you can do in your Chart of Accounts to make it organized.

I'm still here if you have other questions with regards to your Chart of Accounts and viewing your entries. I'm always available to show you the things we can achieve in QuickBooks. Have a good one.

Retained Earnings is a special account which isn't normally posted to directly, except for annual adjustments in some cases. Does this happen for all of your accounts?

This works for the current year, but how do you access past years' detailed entries?  All I see is the Closing Entry and no way to drill down.

Hello there, @Tri-City LJF.

I'd like to share some insights about accessing past years' detailed entries.

There are no actual transactions that can be reviewed since only the net profit balances can be transferred from previous years. The transactions that make up the net profit or loss that QuickBooks Online automatically transferred to your Retained Earnings account are all displayed in the Profit and Loss Detail report.

You can follow these steps to generate the P&L report:

  1. Go to the Reports menu.
  2. Under Company & Financial, select Profit & Loss.

You can also check these articles to learn more about how to customize the reports in QuickBooks Desktop:

Please let me know if you have other concerns or need more help with managing QuickBooks reports, Tri-City LJF. Take care and have a good one.

You'll be glad to know that QuickBooks Online (QBO) also has an Account QuickReport, @Tracy. I'll guide you on how you can get one through your Chart of Accounts so you can manage your financial data accordingly.

To do this, follow these steps:

  1. Go to Bookkeeping or Accounting, then select Chart of accounts.
  2. Locate the account you want to pull up.
  3. From the Action column dropdown menu, select Run Report.

Once you're on the report's page, you can select the Customize button to focus on the details that matter the most to you.

Also, you can save your report's current customization settings in QBO. You may want to check out this article to learn more about this process: Memorize reports in QuickBooks Online.

Please feel free to leave a comment below if you have other reporting concerns or questions about managing financial data in QBO. I'm always ready to help. Take care, @Tracy
