Class tracking in payroll

Our QB preferences are currently enabled for class tracking.  We have found an issue that the classes that are entered on the weekly timesheet entry line for a specific project and class are not pulling over to the paycheck.  It shows information on the timesheet with the project and correct class, but when you look at the paycheck for that person it has pulled it in and is showing the project but the class as overhead.  This is affecting our reports because we run project time by class and we end up showing too much in overhead and have to go back and manually adjust all the classes on the paycheck.  It is creating a lot of extra work when the information should already be coming over.  Is there something we don't have set up correctly?

I can help you troubleshoot the class tracking feature in your paychecks. 

 

The class tracking feature and should show properly. Also, any payroll report that includes the class field is looking at your Paychecks, not your time records. With that being said, let's try a few basic troubleshooting steps to help eliminate any issues that may be occurring in the system. Using our Verify and Rebuild Data tool will allow this information to appear. Don't worry. It only takes a few easy steps. Here's how: 

 

  1. Choose the Window menu and hit the Close all option. 
  2. Go to the File menu. 
  3. Hover over Utilities
  4. Pick Verify Data
  5. If you see the option that there's an issue within your company file, you can go through steps 2-4. However, select Rebuild Data instead. 
  6. Press OK when prompted to backup your company file. 
  7. After the backup is finished, the Rebuild Data Utility will start. 
  8. Hit OK when you see this message: "Rebuild has completed."

The issue is the class information is not moving correctly from the time sheet to the paycheck.  Thus the reports based on the paycheck information are not correct.

Thank you for reaching out to the QuickBooks Community! In this case, since the rebuild didn't correct the issue, I believe contacting our Support Team will be the best bet. They will be able to do a screen share and double-check to see how the items are set up and if it is set up accurately and run some other test. To connect with us, follow these steps below:

 

  1. Within your QuickBooks Desktop, click Help at the top menu bar.
  2. Enter a brief description of your concern, then click Contact Us.
  3. To the correct support expert, we need to know what type of question you have. Give a brief description of your issue and click Continue.
  4. We'll provide you with a few options. You choose which one is best for you.

What's incorrect about they way the classes are being used on the paychecks? Specifics help. For example, is only one class being used for all earnings rows?  Or, are multiple classes being used, but the totals are wrong?  Or, something else?

Multiple classes on the time sheet.  Not carried over to the paycheck.  Instead will post Overhead on all the line items.

So each employee is set up with a default class - either overhead or administrative.  On our timesheets we are entering employee time to various projects and each project has it's own class set up.  So one employee's timesheet could have several lines with time to 5-10 projects.  There is something happening when the information moves over to the paycheck.  All the time is there, but sometimes instead of the correct project class coming over it defaults to the overhead or administrative.  The thing is there doesn't seem to be any consistency.  Sometimes they move over to the paycheck correctly and sometimes they don't. 

 

This issue has been going on for a long time and we've just been manually correcting it and thought it was time to maybe see if there was a way to fix the issue.  We have already done multiple rebuilds, etc. and there are no errors that show up that indicate a problem or a fix for this issue.

  1. Click Help in the top menu bar of your QuickBooks Desktop.
  2. After that, click Contact Us and give us a brief explanation of your issue.
  3. Select Continue after giving a brief description of your problem.
  4. We'll give you a couple of choices. You decide which is the best option for you.

When I reached out about this I was told a person could only have one class - and although we can track time to multiple classes and see it on the paycheck. It doesn't integrate into QuickBooks that way. Is that still true or did you figure something else out?
