Converted QBSE to QBO. Some invoices are now marked overdue, but are actually paid. How do I receive payment and attach to the old invoice?

Congratulations in upgrading to QuickBooks Online (QBO) from QuickBooks Self-Employed (QBSE), @lynnmross.

 

You’ll want to manually receive those payments to mark the overdue invoices as paid. Let me guide you how.

  1. Go to the + New menu.
  2. Select Receive Payment.
  3. Select the name of the customer from the drop-down menu.
  4. From the Outstanding Transactions section, select the transactions that you’d like for QBO to calculate. 
  5. Select Save and close.

Thank for this guidance @JasroV , but it is not working. When I follow these steps, I receive a message saying the customer has no open invoice. When I converted all of the old invoices now show up as outstanding.

If the steps provided by JasroV don't work, I'd recommend paying the outstanding invoices one at a time. This way, we can ensure that the invoices are paid. Here's how:

  1. Select Sales on the left menu and go to the Invoices tab.
  2. In the Invoices page, click the overdue invoice. This will open the Invoice drawer on the right side.
  3. Click the More Actions button and select Receive payment. This will open the Receive Payment window.
  4. Enter the Payment date, Payment method, and the Deposit to account.
  5. Enter the amount and click Save and close.

You can also go to each customer profiles and select the invoices manually.

  1. Select Sales on the left menu and go to the Customers tab.
  2. Click on the customer profile and select the invoice you want to pay.
  3. In the Invoice page, click the Receive payment button.
  4. Enter the Payment date, Payment method, and the Deposit to account.
  5. Enter the amount and click Save and close.

I'm doing all of the above steps and when it gets to the receive payment screen, the imported invoices from QBSE disappear so there is nothing to click to receive. If I continue with amount, date, ref number etc. I keep getting a message when I try to save and close that it will be a sales credit as there is no invoice selected. But it won't allow me to. Do I need to duplicate these since they are imported from QBSE?

In QBSE, you can mark the invoice as paid even if it is not posted to your bank. While in QBO, you need to post the payment to your bank. The invoice created in the QBO needs to have a payment posted to the bank for it to be paid. To do so, you can make a bank deposit. Here's how:

  1. Go to the +New button.
  2. Click Bank Deposit.
  3. Select the account you want to put the money into.
  4. From the Received from column, select your customer.
  5. Choose the correct account and enter the amount.
  6. Once done, click Save and close.

 

Then, apply the deposit entry as an invoice payment. Let me guide you on how:

  1. Go to the +New button.
  2. Select Received Payment (you can also go directly on your customer profile and click the Received Payment button in line with the overdue invoice).
  3. Choose the customer.
  4. From Outstanding Transactions, click the invoice you need to mark as paid.
  5. Under Credits, select the deposit entry, then Save and Close.

 

If you still can't see the invoice on the Receive Payment screen, let's perform some basic troubleshooting steps. To start, access your QBO account using incognito mode. Here are the shortcut keys you can use:

  • Google Chrome: press Ctrl + Shift + N 
  • Mozilla Firefox and Microsoft Edge: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

 

Once signed in, go to the Receive Payment screen again. If this works, go back to your regular browser and clear the cache. This will remove the stored cache or cookies to refresh your browser. If the same thing happens, use another supported browser. It could be that the one you're currently using has a temporary issue with QuickBooks. 

 

Also, QBO has several ready-made reports that you can access to view your customer information and their transactions. Just simply go to the Reports tab and type the "customer" keyword and click whichever customer report you'd like to open.
