Create report that lists customer name and service dates on all invoices in a date range

I need a report that will show sales transactions for the previous month, including item, service provided and service date (in addition to the invoice date).   I want to check at months end that invoices were dated correctly (we back date our invoice to match when services occur).  I found a previous post here that said the Sales by Customer Detail report could be customized to show the service date, but it is not an available option.  Only  invoice date, ship date, deliv date and due date show up as items that can be selected.

Unfortunately you can't include the Service Date on reports.

I appreciate you checking other posts to look for a solution. Allow me to chime in for a moment and share some information about the adding Service Date on QuickBooks Desktop (QBDT) reports.

 

Yes, @Anonymous is right. Adding Service Date on the Sales by Customer Detail report is currently unavailable in QBDT. I can see how this feature would be helpful for you and your organization, and I'm going to submit feedback directly to our Product Development Team for consideration in future updates.

 

I also encourage you to submit feedback as well. They're constantly looking for great ideas from users, like yourself, when deciding how to enhance QuickBooks.

 

Here's how:

 

1. At the top menu bar, go to Help and pick Send Feedback Online.
2. Enter your request/product suggestion, then click Next.
3. Choose Skip and send a message, then select Feedback as the Category.

 

That should answer your concern for today. Please let me know in the comment section if you have any follow-up questions or concerns. I'll be here to answer them. Take care and have a good one.

What is the Source Data for these services?

 

If you know the Source data is Timesheets, for this: "I want to check at months end that invoices were dated correctly (we back date our invoice to match when services occur)."

 

Then you run Time reports, and you include in your Display the columns for Billed, Unbilled, and Not Billable. That's how you review if Billable time got Invoiced. Example:

 

In Nov, I invoice at the End of the month for all time in that month. That means the Timesheet reports with tasks from all of Nov, is what I examine.

Or, your services are performed by subcontractors, so you run Unbilled Costs by Job, for the date range in Nov, and change the Unbilled Filter to Any. Now you see them as Billed, Unbilled and Not Billable.

Does anyone know if the latest version of QBDesktop Pro 2020 has the ability to add service date field to reports?

Seems a simple request and baffles me that current "usable" versions have not been updated to include this field in reports.

 

I'm using Quickbooks desktop Pro 2018 and have run several updates hoping that one day I will not need to manually add this field to reports.

Hi MIMO2020,

 

Currently, the service date option is unavailable in QuickBooks. You'll want to manually add the service date column on your reports. But before you proceed, make sure to edit the invoice template and add the service date column.

 

Here's how:

 

To add the column to your template

  1. Go to the List menu.
  2. Select Templates.
  3. Choose the invoice template you want to edit and select Edit Template from the Templates drop-down menu.
  4. Click Additional Customization.
  5. Select the Columns tab.
  6. Put a check mark in the Service Date section.

     
  7. Click OK.

After that, add the service date information to your customer's profile.

  1. Click Customer on the upper menu.
  2. Select Customer Center.
  3. Double-click the customer name, go to the Additional Info tab.
  4. Click Define Fields, enter Service Date.
  5. Tick if its Customer, Vendor or Employee.

  6. Click OK.

Lastly, run and customize a report to show service date on the column.

  1. Click Reports on the upper menu.
  2. Select Customers & Receivables.
  3. Choose Transaction List by Customer.
  4. Click Customize Report
  5. Under the Display tab, type Service Date and tick the box.

  6. Click OK.

Just checked in QBDT 2021, the service date column on invoicing is still not available on any reports. We did design a work around using the "other 1" column. This can be filtered on reports. The problem is this field is an undefined field; not a date or number. Therefore consistency in entry is very important to be used for filtering.

Thanks for following this thread, @wdi. Let me impart information about QuickBooks reports.


At this moment, there’s no native way to filter service dates directly when running reports without adding the said option on the invoice template and statements. You may consider the recommendation mentioned by my peer MariaSoledadG above to achieve it.


Concerning your second question, yes, QuickBooks Online have this functionality. You can simply generate Sales by Product/Service Detail report. If you have this version, please refer to the following steps:

 

  1. Select the Reports menu in QuickBooks Online.
  2. Search Product/Service Detail report.
  3. Click Customize.
  4. Select the date period and then go to the Filter section.
  5. Put a checkmark on the Service Date box and press Run report. Another way to ensure the option is displayed on the statement is to hit the Small Gear icon and Show More. Then, select Service Date.
