Do Quickbooks Invoice emails tend to go to a spam filter?

I'm new to Quickbooks Online and have a concern with sending invoices from QBO itself. With the "quickbooks" address being the "sent from" field, I'm concerned that customers won't get the invoice as it'll go to a spam filter.  Does anyone tend to have that issue?

I can share what I know about sending invoices in QBO.

 

You can send invoices to your customers as long QBO isn’t blocked by your email provider. It’ll not go to a spam filter.

 

If there’s a client who isn’t receiving your email invoices, let’s reset your email address. Here’s how:

 

  1. Go to the Gear icon at the upper right.
  2. Under Your Company, select Account and Settings.
  3. In the Contact info section, review each email address, then make changes as needed.
  4. Select Save and then Done.

 

If resetting the email address doesn’t work, you can ask your customers to check their junk mail and spam folders. For the detailed instructions, check the second and third solutions in this article: 3 Solutions For When Customers Aren't Receiving Your Emails.

I can share what I know about sending invoices in QBO.

 

You can send invoices to your customers as long QBO isn’t blocked by your email provider. It’ll not go to a spam filter.

Yes, we have more than one invoice that gets caught by spam every month. It's VERY frustrating. QBO just started doing gmail accounts, but that doesn't help becuase we need invoices to come from our white-label domain.

 

Our solution (for know), is that we cc ourselves on every invoice and then we send "reminder" emails a couple of days later with an address from our own domain with read and receive receipts on the emails. It's obnoxious, but at least we can verify that all our invoices get to our clients.

 

How QBO doesn't have email tracking yet is beyond me...

Every month we get invoices going to spam, often for customers that have received them successfully in the past.

 

It very frustrating and makes us look unprofessional, I am now looking for other accounts providers that can send emails with our domain, rather than quickbooks.

 

A fundamental requirement of our business of of account system provider is the invoices are delivered to our customers.

Should we use QuickBooks to send our emailed invoices or not ?

 

When we used the the desktop version we had no issues as it went from our mail server. No with the online version this has been a consistent issue with different customers affcted on different months.

 

Moving over to the online verson feels like a retrograde option that has resulted in lower service levels for our customers and if we are now having to pay for an additional App just to send invoices feels like salt in the wounds.

 

Can you clarify should we be getting invoices from QuickBooks going to our customers spam folders or not ?

QuickBooks Online (QBO) is a cloud-server platform and uses default email services, such as quickbooks@notification.intuit.com and quickbooks-email@intuit.com when sending invoices.

 

In this case, let your customers change their mail settings to prevent your emails from being redirected to the Spam folder. Then, please ensure Intuit's email addresses are added to their contact list.

Leave Quickbooks like I am soon. Quickbooks Online charges premium prices for an inferior app. Most of your subscription money goes to their advertising. Its an easy fix to route email through a platform that minimizes transactional email going to spam. I set them up every month. Its the fact that it would cost them less than a tenth of a penny every email sent. Yes, that is an accurate cost.

Yes! emails sent direct from QBO servers often don't make their destination, and you'll never know because QBO don't supply a way to find out.

 

Work around (a bit clunky but quicker than you might imagine):
1. One off: Set up QBO so it CC's you a copy of all email sent from QBO (see below in italics).
2. One off:(optional) In your email client / app create a special mailbox and a rule to send these emails from QBO to be routed to this mailbox.  (you can then at a glance see what has been sent).
3. For each message sent from QBO. Go to this special mailbox and forward this copy of email direct to its destination from your own email client app.

 

Go to the Gear Icon on the top right, Account & Settings> Sales. Under the area that says Messages, Click the pencil all the way to the right and it should give you the option to CC or BCC to your email.

I am in the same boat. My problem is all our employees paystubs go to their spam account. Every week I deal with 80 employees calling me "did i get paid" i didnt get a stub. This is very annoying.  Quickbooks cookie cutting answers are also annoying.  I dont even call anymore for help because i spend 40 hours on hold and also get no help.  I even got suckered into that yearly program for probably over 10 years and finally learned my lesson after the last 10 hours of being on hold and finally talking to somebody only to get let down by their answer.    This other users response made me laugh and I never laugh.

Honestly, I learn more from the other users that have to battle their way through the jungle, on this community support than I do from Quickbooks people.    

Quickbooks people ...... we pay ALOT of money for your service/software    we dont want to load these 3rd party apps we want you to get your sh*t together!

 

Anyway anybody have their employee paystubs going to spam suddenly?

Let me make it up to you and offer help so you can share this with your employees to let them view their paychecks without checking the Spam folders.

 

To start with, you can let them add the Intuit email address as one of their contact lists. This way, email messages from us will be recognized by their provider.

 

In addition, you can also let them contact any local IT or the email domain provider so a specialist can help them turn off the sender ID filtering. Doing so, their email inboxes will not block our messages and move them to the Spam folders.

I am on desktop enterprise and have recently started emailing customers invoices.  Ever since when I send emails internally to others in my company majority of my emails are going to spam.

I'll help you ensure your emailed invoices are sent to your team members properly. 

 

You'll want to have your team members check their email filters. Their settings might be sending those emails to their spam folders. 

 

Another thing is to ensure your company members' email is set to receive Intuit messages (for QuickBooks Webmail setup). You can share this article for the steps and details: Receive important email messages from Intuit.

 

After setting up their email settings properly, you'll want to send those invoices again.

I'm using QBO and have for years.  Suddenly copies of my invoices and estimates are going to my spam and no matter what I do, I can't stop it from doing it.

Thanks for jumping into this thread. I have a couple of solutions to help you prevent those transaction copies from going to your spam folder. 

 

There might be some changes in your email settings, which flag the invoices and estimates as spam. You might've already done this, but you'll want to check your email filter settings.

 

Next, you'll want to whitelist Intuit and set the sender address as a "safe sender." Each email providers have different steps of doing this. Check this article for a guide: Receive important email messages from Intuit

 

After checking and tweaking your settings, send a copy of those invoices or estimates again. 

 

When you're able to receive those copies normally, you can start recording your invoice payments. This article has all the details and steps you need: Record invoice payments in QuickBooks Online.

Its ridiculous that this issue is marked solved and that my reply on what the real issue and fix was deleted. Proof that Quickbooks does not care about email delivery. We cannot go in to all our customers inboxes and mark QB as a safe sender, these ideas below as fixes are ridiculous. Also telling each and reminding them monthly to check for invoices in spam/junk box is stupid. Just stop and think about the issue and quit adding canned comments so this thread looks better. If Quickbooks would set up a proper API for sending email, or use a email server that is properly configured that has email authority, this would not be an issue.

I've lost all confidence in Qb onlines ability to deliver emailed invoices - when we had the desktop version we didn't have any problems at all. We send 700 invoices per month which we have to release in batchs of 10 at QB advice to try and get them through. around 5% don't make it to our customers, that is 35 customers upset every month !

 

The email filter excuse is wrong, I have no email filtering, a customer that uses QB sent an invoice to me and cc'd my colleague. Mine did not arrive yet my colleagues who has filtering !

It's the SPF records that are the issue.

 

Most incoming email servers check to see if the "sending" address (your address) is the one where the emails are ACTUALLY coming from. But because it's QBO sending them from a notifications.intuit.com  domain, which doesn't match the email domain of the person sending it, the customer's incoming email provider marks them as "spoofing" emails and puts them in spam.

 

QBO - please at least give us a text line we can add to our domain's SPF records that will identify the sending server that QBO uses.

For the amount of money we are paying WTF cant we have our invoices sent from our own email servers? Judas Priest maybe the NetSuite ads are right. I've had this same issue since we moved to QuickBooks. I never had this issue with sage and I'll wager I wouldn't have it with NetSuite. I'm going to be honest, the ceasing of support for the desktop software is a pretty big deal. this whole things feels like a reduction in quality and function. Is QuickBooks on the way out? or are you a*s-hats going to listen to your customers and fix your sh*t?
