Export from QB Online to Excel with formulas

Hi CLP417,

At the moment, formulas are not included when exporting detailed reports to Excel. For this reason, we're unable to use the Auto Outline feature in Excel. I see how such an option can help you, knowing the number of transactions you have. I recommend sending feedback to our engineers, so they can include formulas in future updates.

  1. Click on the Gear icon.
  2. Choose Feedback.
  3. Enter something like include formulas when exporting detailed reports.
  4. Click Next.

On the other hand, you can also check about customizing reports for your additional reference.

Let me know if you have any other concerns about reports. Take care and have a good one.

Export from QB Online to Excel with formulas

Hi

As far as I can see from reading various messages - this issue has been ongoing since 2019

I have sent a message to the engineers

Any one have any idea how to format the reports in excel into something that can be formatted?

This is my problem. I can add the formulas in Excel, but that doesn't fix the problem of the numbers coming over as text. That is the frustrating part of the QBO exports.

My main concern is numbers formatted as text. When I export to Excel, the numbers are saved as text so I cannot sort the data, enter a formula or make a pivot table

It would be nice if QBO shared the frustration

I have tried using a pivot table but  because the QBO transaction reports dont fill in the columns

Yout have

Sales

  Wellie Sales

               xxxx - cccc- fffff

               xxxx - cccc- fffff

               xxxx - cccc- fffff

Wellie sales total      XXXX

and it doesnt work

Ah well

I hear your sentiments, @CLP417.

I understand that you want to make changes and improvements to QBO to meet your business needs. However, as my peer, JessT, mentioned above, the option to include formulas when exporting reports in QBO is unavailable.

In the meantime, let’s share with our product engineers how you’d like to export reports from QBO to Excel. We recognize how beneficial it is for you and your business. While this option is unavailable, I recommend sending your feedback to our Product Development Team. It allows them to review your suggestions and possibly include them in future updates. Let me show you how:

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Type in your feedback and suggestions about having an option to export Excel with formulas.
  4. Click Next to submit them.

Additionally, you can customize the format of each report to show the exact details you need before exporting it to Excel or printing it.

Drop me a comment below if you have any other questions besides exporting reports in QBO. I'll be happy to help you some more. Stay safe!

I know the importance of having this feature. I have a way of how this will be taken care of, klorino.

You'll want to let our product team know how this will help your business. You'll want to go to our Customer Feedback page to submit a request from there. You'll just have to click the Give feedback option and enter what's on your mind. I've added a screenshot for your visual guide:

While QuickBooks doesn't have this feature, you can utilize reports that could cater to your business needs and information. You'll only have to customize them so you'll get the data you need most. I've got this article for you to read: Customize Reports In QuickBooks Online.

That it! Reach out to us if you have other questions about Excel formulas when importing. We'll always be right here to further assist you.

I've just come up against this now ;  when I export some reports you can do anything with the amounts!

You can't even reformat them..... making the reports useless.  What good is a report you can't add up the totals?

Hello there, @shortcut1. Thanks for looping in, and I'm here to share some updates about the feature to help you from there.

I hear you and realize the importance this can have on your business. As mentioned by my colleagues above, the option to include formulas and reformats when exporting reports in QBO is unavailable.

To help improve your experience in the program, I encourage sending feedback to our Product Development Team. At times, we roll out updates and enhancements based on the requests that we receive from our customers. Just go to the Gear icon and select Feedback. For complete details, see this article: How do I submit feedback?

You can track feature requests through the QuickBooks Online Feature Requests website.

Also, you can browse these articles to learn more about generating and managing reports for specific accounts or transactions:

Anyone looking for an actual answer to this problem - I found the way to do it in Excel:

In you Excel settings:  you have to enable Background error checking – for Numbers formatted as text,  then you will get an error on those cells, and can CONVERT TEXT TO NUMBER

Another easy solution is to select the cells with numbers as text. On the Data tab, click Text to Columns and then Finish. Works perfectly for me.
