Hello,
I am using Quickbooks Pro 2018 and have a question about exporting.
We provide service for long term projects and bill our customers every two weeks. Our employees keep track of the work they are doing through T-Sheets by taking notes. The notes transfer to Quickbooks completely. I have tried reports to export the timesheet data into Excel so that I can make sure we have a complete write up for each task and not have redundancy - the notes data seems to be limited to a number of characters.
My question: how do I export the complete notes out of timecard entries?
Thanks in advance.
Hi there, Tammy55.
While your Notes field on a timesheet can have up to 4095 characters, only 96 will display on the Time by Job Detail report. I can certainly see how having more available could be useful to yourself and others. I've submitted a feature request about this to our developers as of today.
You can also submit your own product suggestions while signed in.
Here's how:
Your feedback's definitely valuable to Intuit. It goes directly to our Product Development Team and will be considered in future updates. You can stay up-to-date with Intuit's latest news by checking out the QuickBooks Blog.
I've included a few resources about character limits and exporting reports that may come in handy moving forward:
Please feel welcome to reach out anytime if there's any questions. Have a lovely day!
Thank you, Zach. I will follow up with a product suggestion. Increasing the field could certainly help with our billing. I signed up for T-Sheets and use the full payroll function to make payroll and billing easier.
Thanks again for the prompt reply!
Tammy
I have the same suggestion to increase the character limit for the export of notes from timesheets. It is a frustrating limitation which I have lived with for more than 10 years. My work around is a line by line copy and paste from the Quickbooks notes field to our excel invoice template when our notes exceed 96 characters (and they often do). This is so tedious. The same notes display completely in a Quickbooks invoice although you can't export to a csv file from an invoice. The format of a Quickbooks invoice does not meet our requirements and therefore the ability to export a Time by Job Detail Report with complete notes would be a tremendous enhancement.
I have submitted an online product suggestion as recommended by ZackE on December 3 2020.
I would be interested to know if there is any possibility of a change to the character limitation export and print display of 96 characters.
Looking forward to a response.
Thanks.
Thanks for chiming in on this thread, Fiona12.
We appreciate the suggestion you've shared about the character limit. For now, we don't have any changes about the limitation.
You can check any feature updates by going to Help > New Features > What's New in your QuickBooks Desktop. I'd also recommend visiting our QuickBooks Blog to see the product improvements.

You're also welcome to reply here and your additional questions or concerns. I'll be around to help you out some more. Have a good day!
Thanks for the reply. It is frustrating that complete timesheet notes are displayed in 3 places:
1. timesheet
2. invoice
3. billable time and costs (screen accessed to select items for invoice)
None of the above offer easy export to excel solutions. I can save as a pdf and then resave as an excel however the format isn't the same as a "Time by Job Detail" report which I share with clients as back up for our professional services.
I am curious why the "Time by Job Detail" report cannot be tweaked to allow full display/print/export of the notes field.
Cheers
Go to Reports / Employees & Payroll / More Payroll Reports in Excel / Employee Time & Costs - This will export all of the notes field to a report in Excel. Was a total game changer for me!
Thanks for that suggestion. I'm on Desktop 2023, and those options don't seem to exist--perhaps because we don't use/subscribe to QB payroll. Still seeking solution to being able to export the FULL text of the timesheet notes field to Excel. I was so hopeful when I saw your post though. Glad you have found a work-around that works based on your subscription level.
Have you explored the exporter tool as I mentioned earlier? You should be able to get data with the following template
Name | Transaction Date | Customer | Service Item | Payroll item | Duration | Class | Billable | Notes |
John Marks | 01/09/2020 | Nguyen, Tuan | Labor | Regular Pay | 1:25 | |||
John Smith | 02/09/2020 | Nguyen, Tuan | Labor | Regular Pay | 2:00 |

Yes, the Employee Tim & Costs report includes the entire memo and will look something like this. I used the text of Tammy's question in the example, just for fun:
If you use QB Payroll, you can run the report from Reports | Employees & Payroll | More Payroll Reports in Excel | Employee Tim & Costs.
If you don't use Payroll or it's not on your QB menu for some reason, then you can download the *.xlt file, save it somewhere convenient, and then double-click it to launch a copy of it in Excel, where it'll work just like if you launched it from within QuickBooks. Download the report here: QuickBooks Time Reports
