Extract Unpaid Bill Report

I have QB Desktop 2016.

 

I want to extract, preferably in a spreadsheet format my unpaid bill report. I know I can go to Reports > Vendors & Payables > Unpaid Bill Detail.

 

But this report is not matching the report I am seeing when I go Vendors > Pay Bills. The total ideally here should match this unpaid bill details report but it is significantly out, over $300k. 

 

I want to know how can I get a spreadsheet of the screen I see when I go Vendors > Pay Bills

Extract Unpaid Bill Report

We'll have to customize the Unpaid Bills Detail by the transaction to match with the data you see when you go to the Pay Bills page, asid. I'll gladly show you how to do this below.

 

Here's how:

 

  1. Go to the Reports menu.
  2. Select Vendors & Payables and then the Unpaid Bills Detail report.
  3. Click the Customize Report button.
  4. Set the Dates to All in the Display tab.
  5. Go to the Filters tab.
  6. Choose the TransactionType filter and then select Bill.
  7. Click OK.

 

After that, compare the total amount in the Pay Bills window to the Unpaid Bills Detail report. They should now match. 

 

 

Additionally, QuickBooks provides a range of vendor reports that indicate your company's position regarding expenses and accounts payable. To find out which one is suitable for your business, you can refer to this article: Customize vendor reports.

Extract Unpaid Bill Report

Thanks @Rea_M that has helped and solved the problem. Follow up on this, if I wanted to search for a bill I can do so easily by 'CTRL+F' and search with the bill number. 

 

But if the bill is already deleted, how do I search for this?

Thanks for getting back here in the thread, @asid. We'll provide details to help you with your situation and locate a deleted bill inside the QuickBooks Desktop (QBDT).

 

Know that in QBDT, if you've already deleted the transactions, the CTRL+F option won't be able to track it down. In this case, you'll want to run the Audit Trail report to see the details of a deleted transaction so you can manually copy and recreate it inside your company file. We'll walk you through the process to help you address this situation. Here's how:

 

  1. Access your QuickBooks Desktop company.
  2. Go to the Reports menu, and then select Report center.
  3. In the Search bar, enter Audit Trail.
  4. Access the report and utilize the filter option to help you locate a deleted bill inside the program.
  5. Once you've found the bill, take note of the details inside it and then recreate the transaction.
