Having the Notes section from my timesheet show up on the customer's invoice

I use desktop QB 2019. for MAC  I enter onto my timesheet, in Notes, a brief detail about the item for which I am billing.  For example, if I am billing .2 for "Telephone call" I'll enter the initials of the person with whom I had the call.

 

But when I generate the client's monthly bill, I want that note to appear next to the line item (service for which I am billing) so the customer knows a bit more than the generic "telephone call" for which they are paying me!

 

Does anyone know how I can set up my invoice template so the Notes from my timesheet transfers over to the invoice, and not just the date, service item and time spent (as it currently does)? MY invoice template has a section called "description" but it remains blank rather than has the description/note I made!!

Hello there, slipslope.

 

The description that will be copied to the invoice is the item description instead of the description or note you entered when entering your timesheets. You can either edit the description of each item and enter the initials from there or manually enter them every time you create an invoice.

Thanks for your reply.  However, I don't use sales form, as my business is just providing a straight service, no real sales things involved.  So are you saying there is no way to provide more detail on an invoice other than to manually input data?  That solution is crazy from a practical standpoint, as I'd have to go line by line over an entire month of billed service items, and re-write the details of what each one entailed.....even though I already noted it in the timesheet!

 

Why in the world would QB make it this hard to do a basic function?  Is it a Mac issue?

I know how frustrated it is when something is not working the way we want it. However, as mention above by my colleague, the only way we can enter the details in a transaction by entering them manually in the invoice.

Is there still no way for the notes section of the time cards sheets to follow the billable time and appear on an invoice?

Hi @Mike_Sw, I'll share information about the notes added in a timesheet.

 

As of the moment, there isn't an integrated way to add the notes section of the timesheet to follow the billable time activity for invoices. And we're unable to determine the exact turnaround time as to when will this feature be available in QuickBooks.

 

While the option is not yet available, I suggest letting our product developers know about your request by sending feedback. I'll show you how.

 

  1. Go to Help.
  2. Select Send Feedback Online.
  3. Click Product Suggestion.
  4. Under Product Area, choose Customers Sales.
  5. Enter a few words describing how you wanted to have the option to integrate the notes added in a time activity for billable invoices.
  6. Select Send Feedback.
  7. Click Close Window.

I see others are not having the notes portion of their time sheets transfer to the invoice (and maybe its QB for Mac that has this issue).  I use QB desktop for PC and the notes transfer fine, but the date doesn't.  I usually note the hours of the day I worked on whatever the hourly service item is, and then enter the hours into the appropriate day of the week, but that date doesn't show on my invoices.  The item (hourly services) and the number of hours does, but not the date which seems odd since I have to enter those hours under a specific date.  Is there a setting I'm not using?

Thanks for joining this thread, B Johnson.

 

You can turn on your Serviced column when customizing invoice templates. This will make the dates you've entered on timesheets display while invoicing.

 

Here's how:

  1. In your top menu bar, go to Lists, Templates, then choose Invoice.
  2. Access your Formatting tab and click Manage Templates.
  3. Choose a template to preview. When you're prepared, hit Copy to create a new copy of it or OK to edit the existing one.
  4. Click Additional Customization to add or remove items from your template's header, columns, and/or footer.
  5. Turn on the Serviced column and specify whether you want it to display when viewing on-screen and/or when printed.
  6. Press OK, then Print Preview to review your form. If everything looks good, hit Close.
  7. Select OK.

This answer is not correct at all. I have used QuickBooks for Mac for 10+ years, and the notes I enter for Employee Time activities have always transferred to my custom invoice.
