How do I create a sales report for specific INACTIVE customers. QB Online

I need to run a report that filters down to just my inactive customers and see their sales for the year prior.  

One of our customers switched ownership and renamed with something very similar.  They have 9 locations.  To avoid confusion, we needed to make the old customer inactive.  But now I would like to do a side by side comparison of last year's revenue to this with the old customer name and the current customer name, but I am not able to select the inactive customers on the filter list because they do not appear there.  
I cannot make them active again, so this is not an option.  

How to I make them appear as a selection under filter on my sales by class summary/detail report? I am using Quickbooks online.

Yes, there is an option to do that, rlw. Let me show you the step-by-step process.

 

Running a report in QuickBooks online and customizing the Sales by Customer Summary will let you view all necessary information you need. You must filter the report correctly to achieve the specific report for inactive customers. Here's how:

 

  1. Open the Reports menu.
  2. At the search tab, "type" Sales by Customer Summary.
  3. Under the Report period, select "All Dates."
  4. Then, go to the Customize section.
  5. Under Filter, click the drop-down arrow in the Customer tab, then select the inactive customer's name.
  6. Then, click Run Report.

There is also a way to make inactive customers active again. Here's how:

 

  1. Go to Sales.
  2. At the Customers section locate the gear icon on the right side.
  3. Under Other, check the Include inactive option.
  4. Then, choose the inactive customer's name then hit Make active.

A browser-related issue might be happening if you can't run the report for specific inactive customers after following the steps. 

 

To fix this, let's access your account through an incognito window to eliminate the possibility of a webpage issue. Below are the keyboard shortcuts:

 

  • Google Chrome and Microsoft Edge: Ctrl+ Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

Unfortunately, this did not work for me.  I had already tried running a report with the customization feature and the names of inactive customers do not show on the list to filter down.

I tried an incognito window as well and it didn't work either.  

 

I cannot make an inactive customer active either due to the fact that we retain customers when they change ownership but we set them up as new accounts in our system and zero the other out.  


So it is looking like I can't simply run a report with inactive customers only selected.  This is for a year to year sales comparison and should be a report that is simple to run.  Mind boggling to me that it is not.

Neither option worked.  I have tried running that report before and filtering down and the names of inactive customers do not appear on the filter list.  

I tried the private browsing as well and they are not there either. 

Due to the fact that we retain customers when they change ownership and set them up as new accounts in our system, we cannot make inactive customers active again.  Too confusing for billing. 

This should be a simple report I can run.  It is mind boggling to me that I can't run a simple report with inactive customers.  

This is for a year to year sales comparison and I would like to use it for this function, but looks like I need to find some other program that can do it for me.

You can pull up a Sales by Customer Summary, and look for a filter that allows you to select All Customers. Applying this filter will enable the report to encompass every customer in your database, both active and inactive. Please refer to the screenshot below:

 

Next, export the report to an Excel file to enhance customization options, enabling you to edit the report and eliminate any unnecessary details.

 

Here's how:

 

  1. Go to Reports.
  2. Search for and select the report you want to export.
  3. Pick the Export/Print dropdown, then click Export to Excel.
  4. Save the file to the download folder or your desktop.

 

If the inactive customer isn't showing on your end, I recommend calling our support team to investigate this error further and verify if there are ongoing cases. 

 

You can follow the steps below:

 

  1. Log into your QuickBooks account.
  2. Click the Help option in the upper-right corner.
  3. Tap the Contact Us button.
  4. Choose a topic from the boxes or tap the Ask about something else box.
  5. Next, state your concern in the box. Example: Refund concerns. Then, press the Continue button.
  6. After that, select between the two options: Have us call you or Schedule an Appointment.
