How do i customize purchase order format on QBO Advanced

The function to change your template and design forms was in Quickbooks desktop. It is no excuse to not have it in QBO. There is not even an option to ADD the Purchase Order form. This should be a number one priority for your company. FAILURE.

Seriously, QBO needs to be able to customize the Purchase Order Form.  The first column header is "Service" - I write PO's for Products.  This is very lame.

My issue is with the signature line. If we can send the PO out via email, how the heck to you sign it?  Plus, I'd like to attach a quote from the vendor to the PO.

Hi there, @erkorbgwg. I have some information and instructions to help you manage electronic signatures in QuickBooks Online, Allow me to help you.

 

As of the moment, e-signature is unavailable in QuickBooks Online. This feature's accessible in both the mobile app and the desktop edition of QuickBooks. For now, you can manually affix your signature or integrate a supported third-party app that's capable of doing this.

 

There are two ways to look for a third-party app. The first one is by going to the apps.intuit.website or by going to the Apps tab that can be found in your left navigational bar.

 

To begin with, here are the steps:

 

  1. Go to the Apps menu at the left pane.
  2. Select the Find Apps tab, and then type a keyword in the search bar like "E-signature."
  3. Click the magnifying glass to search, and then choose the app that suits your need.

So why the heck is there a form builder if QBO does NOT let you access the form you just made?!!

Why add customization on the Sales Forms but not Purchase Forms??? THIS MAKES SENSE TO WHOM????

@Fiat Lux - ASIA Of COURSE we all have the option of not using QBO. This is obvious and singularly unhelpful no matter how you state it. Steering customers away from QBO instead of addressing the actual concern of customers should not be the point of a Quickbooks Support Forum. How did you get to Level 15 with such inane input?

Maybe Intuit should focus on investing in their own products instead of spending money acquiring email marketing software such as Mailchimp, I just want to be able to customise my purchase order like I can my Sales Invoices

Hi. Sorry for late reply, you were in spam. The issue was that the description was not showing in a purchase order when entering a part. We sell engine parts and they have about 15 digits. But the question seams to have been resolved as now everything is showing and working with POs isn't such a strain. It would be nice if a po could be exported to a spreadsheet in an organized manner. For now I download to a pdf and then copy to a spreadsheet, it is a disorganized mess though.

I can only imagine how the option to export purchase orders to a spreadsheet would be beneficial for you and your business. Please know that our product engineers are considering all suggestions based on the number of requests and their impacts on the user interface before they're rolled out.

 

For now, I suggest submitting feedback directly to our product engineers. They may look into this suggestion and consider adding the option in the future update. To submit feedback, please be guided with the steps below:

  1. Open your QuickBooks Desktop company file.
  2. Go to the Help menu, then select Send Feedback Online and choose Product Suggestion.
  3. Enter your feedback and click Submit.

You might also want to visit our feedback forum to check the recent updates made in QuickBooks.

Here is my customer's problem with the Purchase Order - his vendor does not need to see the category and subcategory in the product/service column.  He ONLY needs the needs the name of the product.  Seems like that should be the norm but not in QBO.  He cannot send these to his vendors.

Hi hlhart!

 

Let me assist you in creating a purchase order (PO).

 

Just like other expense transactions, you have an option to select either an account/category or a product when creating a PO. You'll want to make sure that the item table is turned on so that you can select a product.

 

Follow these steps:

  1. Click the Gear icon and select Account and Settings.
  2. Go to the Expenses tab and select the Bills and expenses to edit it.
  3. Toggle the Show Items table on expense and purchase forms to turn it on.
  4. Select Save, then Done.

 

Once done, go to the + New button and select Purchase order. You'll see both Category details and Item details. Then, you can now select the products on the Item details section.

Did you even read what I listed as the problem?  We already have done all that you said.  The problem is that under Product/Service is that it lists first the Category then any Subcategory and then finally the Product Name.  Any business that I have ever worked with ONLY wants the Product Name.  The vendor has NOTHING to do with either the Category or Subcategory.  They WILL NOT accept this Purchase Order as it is right now.  

 

It really annoys me when I get a response on these boards that has nothing to do with the problem as it is posted.  You really think that we want that?  It only makes us angrier.

I'll take it as you're referring to the product and services just like in the screenshot below:

 

 

The item will show as a category and sub-category when you've entered a Category on the Product/Service information page. I've added this image as a visual reference:

 

 

With that, you can either create a new item without the Category or edit the existing one and delete the Category. Here's how to modify the item:

 

  1. From the Gear icon, select Product and services.
  2. Locate the item and click Edit.
  3. Delete the category on the Category field.
  4. Click Save and close.

 

If you mean something else, please let me know. You can also add a screenshot so I can have a visual representation of your concerns.

 

When you're ready to link a bill from the purchase order, you can check this guide:  Add purchase orders to expenses, bills, or checks in QuickBooks Online.

So I can either use the software to organize my inventory so I can get needed reports by using Categories and Subcategories or I can have a Purchase Order print properly.  In case you don't realize this - vendors don't want all that extra data on a purchase order.  End users do want the ability to figure profits by category so they can know where they are making or not making money.  Look at any other software - the only thing that shows on the purchase order is the item name/number.  None of the show the additional information.  You could just make it easy to modify reports in QBO like you can in Desktop.  But that would be too easy.  You advertise this software as being everything that everyone wants and then don't deliver.  I want to sell your software but you make it hard.

It just waste of time here, QBO team does not have answers neither they want to provide option to edit things like it was in desktop version. The reason behind this may be to light their app so it would cost them less. Also if the option is not available they do not want to provide they promote third party apps. and says solution to every need.

Hi QBO Team, 

 

the current "master template" approach you have for purchase orders is really impacting your product by creating a terrible problem for your thousand of users

 

We need to be able to customize POs as needed (fields, formats, attachments, etc)... this is super basic and you shouldn't create workarounds or suggest we go with third parties (Intuit leadership will hate to hear such a comment)

 

Please give us a timeline to have this in place

I agree with all the complaints about adjusting Purchase Orders. It makes businesses who use them look unprofessional. This is an easy fix and I'm shocked QBO hasn't been able to correct this yet - Small Business CFO

This is like the 3rd product hole i've run into using your product for our daily operations. This is unbelievable that this feature has not been added - guess i'll have to upgrade to another intuit product??? o.0 What's the problem @books11249 team? 

 

I need control over ALL of the vendor and customer forms. You're making us look like schmucks with these garbage forms
