Whoever did this, did you no favors.
You avoid JE when Names are involved. You avoid them for AP, AR, QB Inventory, Sales, Sales Taxes, and QB Payroll.
You have vendor Bills and Credits and pay bills checks that are linked to the bills.
You don't use JE. What you have is two Unlinked JE transactions. That is often done when someone doesn't understand how to run the reports on Cash Basis. They just make more entries. Or, they want to "move Credit Card balance" to be AP, but it is not AP.
You will need to apply the available Vendor Credit to the open JE that shows as if that is an open bill. Once they are Applied, they are not Open and not Aging. And then, never let that person make that type of entry, again. They don't understand QB and they just bypassed your Cash vs Accrual Basis reporting needs for Tax time, too.
I have a similar problem, but it's not quite the same, so I don't know how to apply your answer.
Our auditor has had us use journal entries to move balances on unpaid invoices to our uncollectable debt account. He has also used them to move early payments on invoices to the "deferred revenue" account and to reverse these later. We used names with these.
Our aging detail report has become unreadable. How do I remove these from the report when I can't make any changes to previous years after the auditor has reviewed the financials? Or are we stuck with them forever?
Thank you!
Welcome to the Community, @Dreamerlyn.
I can share some details about how the reports work in QuickBooks Online.
The only way to get rid of them in the report is to delete the transactions. However, we don't suggest doing it since the data entered is part of moving the balances of your unpaid invoices.
I suggest only resolving how you can add the reverse to the system. Ideally, you can record it via journal entry if you're unable to make changes to the old transactions.
The data showing on your reports depends on the transactions that you enter in QuickBooks. If the books from the prior years are closed, I suggest consulting your auditor.
This process is an important step to ensure your books will be accurate and stays the way you want it to. Before making changes, I suggest seeking expert advice.
